Job Purpose The C-Suite Assistant with a legal background will provide high-level administrative to the CEO and Senior Management Team of Quantum.
This role requires a unique blend of executive-level assistance, legal acumen, and project coordination skills to ensure the day-to-day operations run seamlessly.
The ideal candidate will be highly organised, proactive, and discreet, with the ability to manage confidential legal and business matters efficiently.
Key Responsibilities may include but are not limited to: Executive Support: Serve as the CEO's right hand, managing their daily schedule, appointments, and correspondence with internal and external stakeholders.
Prepare and edit documents, reports, presentations, and contracts as requested by the CEO.
Act as a gatekeeper, screening calls, emails, and meeting requests, and prioritising tasks effectively.
Anticipate the CEO's needs and proactively manage their workload.
Real Estate/Development Coordination: Track timelines, milestones, and obligations for active development projects.
Collaborate with the CEO and Senior Directors on land acquisitions, planning permissions, and other regulatory matters.
Meeting and Event Management: Coordinate and schedule board meetings, executive team meetings, and client presentations, preparing agendas and supporting materials as needed.
Take accurate meeting minutes, track action items, and ensure timely follow-up.
Travel and Logistics: Arrange domestic and international travel for the CEO, including flights, accommodations, and itineraries.
Manage logistics for property site visits, investor meetings, and conferences.
Confidentiality and Professionalism: Handle highly sensitive information with the utmost confidentiality and discretion.
Build strong relationships with internal teams, external partners, and clients while representing the CEO and company professionally.
Support Senior Management Team: Provide support with various ad hoc tasks and projects as required, ensuring flexibility and adaptability to meet the evolving needs of the team and business.
Qualifications, Key Skills & Competencies Education and Legal Background: A bachelor's degree in Business Administration, or a related field is desirable.
Experience in legal support roles, ideally within real estate, construction, or property development industries.
Professional Experience: 3+ years' experience as an Executive Assistant, ideally supporting C-level executives.
Proven ability to manage legal documents and processes in a professional setting.
Experience in the real estate or development sector is highly desirable.
Skills and Competencies: Exceptional organisational and time management skills, with the ability to multitask effectively.
Strong legal drafting and proofreading skills with keen attention to detail.
Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
Familiarity with legal management software and project management tools is a plus.
Excellent written and verbal communication skills.
Strong problem-solving abilities and a proactive approach.
