Key Responsibilities:Customer Service & CommunicationAnswer telephone calls and respond to emails promptly and professionally.Provide information and assistance to the public, colleagues, and stakeholders.Handle queries efficiently and direct them to the appropriate department when necessary.Administration & Office SupportProcess and distribute incoming and outgoing correspondence, including appointment letters.Maintain accurate records and update internal databases as required.Assist in preparing reports, documents, and general office paperwork.Organisational SupportSchedule and manage appointments, ensuring all relevant information is communicated.Support colleagues with clerical tasks and contribute to a smooth-running office environment.Adhere to data protection and confidentiality policies at all times.Key Competencies & Skills:Excellent telephone manner and customer service skills.Strong written and verbal communication abilities.Proficiency in Microsoft Office (Word, Excel, Outlook) and general IT skills.Ability to work independently and as part of a team.Organised, detail-oriented, and able to manage multiple tasks efficiently.Approachable, friendly, and professional when dealing with the public and colleagues.Essential Requirements:Previous experience in an administrative or clerical role, preferably in the public sector.Strong organisational and interpersonal skills.Ability to handle confidential information with discretion.Desirable:Experience in handling appointment scheduling and correspondence.Knowledge of public sector procedures and policies.
