Unijobs on behalf of our public sector client have a requirement for a PMO Administrator to join their team working on a large healthcare infrastructure programme of work in Dublin.
The duration of this post is 5 years with possible extensions thereafter.
This role will be based fully onsite in Dublin.
Working 35 hours per week, the successful candidate will be employed as an agency employee and will be paid an hourly rate of €30.47 based on an annualised salary of €55,644 and will accrue 30 days' annual leave per year and paid bank holidays.
Description of Role The Programme is integrated across three workstreams - Capital, Operational Readiness, and ICT.
The Capital Workstream is the delivery team that is responsible for all the activities related to the successful implementation and execution of the Capital programme of work, including Design, Construction Management, Equipping, Health Safety Security and Environment, Quality Assurance, Workstream interface and the Employer's Representative.
The Operational Readiness (OR) Workstream is the delivery team responsible for all Clinical, Operational, and Workforce readiness activities.
This includes the design and delivery of the operating model across all clinical, operations, and corporate functions.
The OR Workstream will ensure the workforce requirements for the new facility are met and will provide clinical expertise related to the commissioning of all hospital services and transitioning to the new facility.
This OR group will also oversee the overall change processes associated with the programme.
The ICT Workstream is the delivery team responsible for the design and delivery of all ICT required for the new facility.
The Programme will be supported by a Programme Management Office (PMO).
The PMO is responsible for ensuring the accuracy and consistency of information and reporting throughout the governance structure.
The PMO will implement and deliver the appropriate control framework to monitor, track, and report on all key control indicators across the full Capital, ICT, and Operational Readiness programme workstreams, ensuring the right information is presented to the relevant forum to enable effective and timely decision making.
The PMO Administrator will be based within the PMO and will report to the PMO Lead.
The PMO Administrator will be responsible for monitoring of project progress, following up with stakeholders on the completion or delay of project phases, scheduling meetings, and maintenance of project documents and reports.
Responsibilities: Setting up calendar and plans with stakeholders, as per the project governance system.
Collating minutes during meetings and distributing as per approved distribution matrix.
Support the coordination and management of the programme/ project.
Provide research information, as required.
Track and monitor improvement initiatives across various workstream.
Keep track of project progress and report on same to the PMO Lead.
Complete any tasks assigned by the PMO Lead in an efficient and timely manner.
Support the Reporting Manager in maintenance of comprehensive project progress reports.
Maintain and archive all the project-related documents for their proper utilisation.
Eligibility Criteria: Bachelor's degree in Administration or related discipline.
2+ years of experience working in administration and document control roles within the public sector.
Desirable professional knowledge & experience: Application of administrative procedures, including adequate practical experience in work or an executive nature, office organisation and control of staff.
Proven knowledge and application of Information Management and File Sharing Systems.
Proficiency in Microsoft Office.
Reporting processes.
Data entry.
