POSITION OVERVIEW We are looking for a dedicated and detail-oriented Project Coordinator to join our European Office team.
In this role, you will work closely with the Associate Director and Project Manager to provide essential financial and administrative support.
The ideal candidate will be a motivated and proactive individual who thrives in a collaborative work environment and excels at handling remote tasks while coordinating with various stakeholders across different time zones.
SUPERVISORY RESPONSIBILITIES None CORE DUTIES/RESPONSIBILITIES Support the team with projects and initiatives, especially those related to European funded projects (H2020 / Horizon Europe) and associated funding guidelines.
Support planning and organization of internal and external events and meetings related to the European Office portfolio of activities.
Anticipate and manage scheduling conflicts by looking ahead and proactively identifying and resolving identified conflicts.
Assist in the delivery of project activities, including maintaining accurate, compliant records and providing other administrative support such as organising meetings, raising purchase orders and invoices, and minutes-taking.
Ensure project documents are complete, current, and stored appropriately within the relevant system.
Monitor expenses, submit expense reports, and assist in the completion and submission of financial reports.
Provide support during internal and external audits to ensure compliance with project management standards, policies, procedures, and templates, and assist in resolving any identified issues.
Support event coordination by booking venues, registering participants, planning agendas and contribute to minutes or report preparation.
Arrange necessary travels and accommodation for the internal team and C-Path external experts, when required.
Track and document best practices and lessons learned and share those with the team.
Perform other duties and responsibilities as assigned.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES · Excellent organizational and time management skills with the ability to balance competing priorities in a busy work environment.

· Proven ability to meet deadlines and manage tasks efficiently in a multicultural fast-paced setting.

· Professional business writing skills, including composing reports, emails, and other documents.

· Effective collaboration within interdisciplinary teams and stakeholders across different time zones.
REQUIRED EDUCATION AND EXPERIENCE Essential Criteria · Bachelor's degree in a relevant topic such as business administration, life science, finances or equivalent professional experience.
· High levels of numeracy and literacy, with proficiency in both spoken and written English.
· Previous experience in an administrative and business support role in a busy, fast-paced environment.
· Experience in planning and coordinating events, including venue sourcing, contract negotiation, and managing timelines to ensure successful execution.
· Fundamental understanding of financial principles.
· Proficient use of MS package: Word, Excel, PowerPoint, Outlook, and SharePoint.
· Proficient use of Zoom and Microsoft Teams for setting up and running meetings and webinars.
· Ability and interest in learning new IT systems and programs as required for the role.
Desirable Criteria · Exposure to Horizon 2020 and other EC funded programs would be advantageous.
· Project management experience is preferred.
· Experience in preparing and managing financial documentation, ensuring compliance with funding guidelines and financial regulations would be advantageous.
· Understanding of financial auditing processes.
· Experience using project management tools such as Monday would be advantageous.
