Administrative Assistant

Our Client, an Educational Institution is looking to hire an administrative assistant on a full time (35 hrs per week) temporary 6 month contract until with view to extension and progression for the right candidate. Reporting to Centre Manager, the appointed Administrators will be responsible for ensuring that the administration of Centre activities and tasks are carried out in an efficient, accurate and professional manner.
The post will require initiative, organisational ability, excellent interpersonal skills and communication skills.The ideal candidate will demonstrate a motivation and enthusiasm for the role and a commitment to providing a high level of customer service.
Responsibilities: ·To assist in preparing reports, correspondence and other documents as necessary and providing administrative support for meetings and taking minutes when required.
·Responding to queries and requests for information in a professional, courteous and timely manner.
·Upon request and as required, engage and correspond with the departments members (associate and patron, RPO), ensuring a high level of service is being provided by the Centre.
·Distribution of material and information to relevant stakeholders as required.
·Maintaining systems (e.g.
Agresso etc.)
and records (e.g.
Files/Folders, Databases, Schedules, Minutes, Reports) in an organised and efficient manner.
·Carrying out routine accounts work for the Centre if required.
·Arranging travel and logistics for Centre staff as well as visiting delegates in the course of Centre business.
·Supporting organisation of Centre events and meetings.
Requirements: ·At least 2 years' relevant employment experience, which demonstrates a high level of administrative support in a demanding office environment.
·Excellent IT skills with proficiency in MS Office suite, most notably Word and Excel.
·Familiarity with cloud storage and web services in an administrative capacity.
·Excellent interpersonal and communication (written and spoken) skills, including experience working in a team environment.
·Demonstrable ability to work on own initiative to prioritise, manage workload and meet deadlines.
·Experiemce withAgresso financial management system including being able to run financial reports as well as log and track PO's and invoices is an advantage.
·Knowledge of Public procurement processes and systems i would be a distinct advantage
·Knowledge of Customer Relationship Management systems (eg: Hubspot) would be an advantage.
·Positive work ethic and positive professional attitude are fundamental to this role.
There will be a lot of dealings with Centre Members, industry stakeholders, academics and graduates.
This person must be an excellent communicator with strong interpersonal skills.
