Administrative Services Manager (Permanent) This post is aligned to the HSE pay scale; Clerical Officer Grade VII (Under the Governance of Mercy University Hospital Cork CLG.)
Responsibilities - The post holder will be responsible for; Evaluation, Performance Management and Development of Clerical Staff under his/her remit Management and recruitment of the Administration department.
Ensure sufficient numbers of suitable and trained staff are employed to deliver an efficient service while adhering to employment levels and procedures Develop Service plans on an annual basis contributing to organisational planning for relevant services.
Develop Implement and update internal policies and procedures in accordance with Best Practice Participate /lead Projects as required Promote good communication through departmental meetings and the decision maker in relation to all types of staff leave Ensure disciplinary issues are dealt with appropriately and in accordance with the Hospitals Disciplinary Policy in conjunction with the HR Department Ensure that the Supervisors have the training and are carrying out the probationary and performance reviews for all relevant staff Ensure all clerical staff comply with hospital Health & Safety policies and procedures, and the provision of the Safety, Health and Welfare at work Act 2005 and relevant regulations Conduct Risk assessments as necessary, i.e.
departmental assessments, pregnant employee assessments and act on recommendations accordingly Conduct staff grievance meetings in accordance with the Hospital's Grievance Procedure. Aim to resolve grievances at local/informal level Compile Job Descriptions for the clerical roles that report to the Administrative Services Manager under the remit of the post and where relevant to wider Administrative staff Work closely with the MUH Recruitment Team and Business Partner to manage vacancies as they arise within area of responsibility Compile Business cases for new positions for approval.
Compile job adverts, shortlist candidates and chair interviews Liaise with the Quality and Risk Department in relation to any Risk Management Occurrence Forms or complaints, acting as a point of contact with staff involved at ward level Eligibility Criteria - Candidates: Management Qualification essential (minimum NFQ Level 7) A minimum of three years Supervisory Experience with relevant time/People Management experience Previous senior administrative experience minimum of 2 - 3 years Broad knowledge of iPMS desirable Coaching and Mentoring Skills Excellent computer skills Excellent attention to detail Data Analytics experience desirable Possess a high level of Communication, Organisational and Time Management skills Have a high capacity for responsibility and initiative as well as possessing strong problem solving and decision making skills Closing date for applications is 1pm Friday 20th September 2024 MUH Reserve the right to form a panel from this campaign
