Total Solutions are currently seeking an experienced administrator to work for us directly on a permanent basis from our office in Lucan, Co Dublin Position Overview: Total Solutions are currently in the process of opening a brand new division, which is going to launch a unique product in the home upgrades sector nationwide.
We are currently in the process of setting everything up with regards to the website, branding etc and have a planned launch date of October 14th.
We are currently looking for an individual to start 1-2 weeks in advance of this date so they can learn about the product / process before we launch properly, who has experience in a similar type of business, where they will be responsible for managing the end to end customer experience, this will include - answering the customer calls, responding to messages and emails from customers - Keeping the customer updated throughout the full process with regards to install dates, quoting, invoicing, arranging payment etc - Scheduling the installation team to complete the work as agreed with our clients - Logging all customer info on our system - All administrative tasks related to the business Requirements: Proven experience as an administrator, project coordinator, or similar role, preferably in construction, interiors, or related industries.
Strong organizational and time management skills.
Proficiency with project management tools and office software (e.g., Microsoft Office, Excel, project scheduling tools).
Exceptional communication and interpersonal abilities.
Ability to work independently and as part of a collaborative team.
Problem-solving mindset and attention to detail.
Familiarity with construction or interior design terminology is a plus.
Responsibilities: Manage and coordinate project schedules, ensuring deadlines are met and tasks are completed on time.
Provide administrative support including filing, data entry, answering calls, and maintaining records.
Assist with project planning, tracking, and reporting progress to team members and stakeholders.
Serve as a point of contact between clients, subcontractors, and project managers, facilitating clear communication.
Schedule and confirm appointments, meetings, and site visits.
Prepare and distribute project-related documentation, ensuring accuracy and timely delivery.
Support office operations by ordering supplies, managing correspondence, and handling various administrative duties.
