We are seeking a part-time Bookings Office Assistant to join our busy bookings office. You'll play a crucial role in ensuring our customers receive the best experience through the booking process and beyond. This is an interesting and varied role, working with a friendly team in a truly stunning location in Connemara.
The ideal candidate is an organized individual with great people skills, adept at multitasking, prioritizing tasks, and managing time effectively. Punctuality and reliability are vital, as you will be the first point of contact for our customers.
RESPONSIBILITIES Booking management Administration: Monitor and manage all bookings via phone, email, and online booking system.Processing: Handle all bookings and inquiries professionally, sending booking confirmation details to customers.Communication: Answer phones, address queries, pass them to relevant departments, and take clear and concise messages.System Management: Manage and update online bookings via the Booking Layer system, ensuring accurate daily updates on capacity and availability.Financials: Monitor and process deposits, payments, and invoices.Customer Service: Answer customer queries and resolve any issues with bookings or reservations.Liaison: Coordinate with other departments to keep bookings up-to-date and inform the reception and activity office of any changes.Promotion: Promote and sell our activities and packages, highlighting their unique features.Conversion: Convert inquiries into bookings by engaging with customers and offering tailored recommendations.Follow-Up: Proactively follow up with potential customers to secure bookings and answer any questions.Cross-Selling: Suggest additional services and packages to enhance the customer's experience.SKILLS & EXPERIENCE
The ideal candidate will have the following skills, knowledge and experience:
Required Customer Service: Excellent customer service skills for a customer-facing role.Communication: Fluent English with excellent written and verbal communication skills.Reliability: Punctual and reliable.Attention to Detail: High degree of accuracy and attention to detail.Teamwork: Strong team working skills.Technical Proficiency: Proficiency in Microsoft Office suite and email communication.Independence: Ability to follow directions and work with minimal supervision. 2 years' administration experience working in a busy office.

Expected hours: 20 - 28 per week in low season, increasing in busy season.
