Clerical Officer (Grade IV) - Microbiology Laboratory Principal Duties and Responsibilities: General Office Administration for the Microbiology Department, including general reception, answering phone queries and general office duties.
Assessing needs of the laboratory on a day-to-day basis and prioritising work.
All phone queries relating to Microbiology Lab comes directly into the clerical office - filter same and either assist the caller or filter to the relevant scientist.
Dealing with queries from visitors to the lab from other hospitals as well as the secretaries, nurses and doctors/consultants.
Provide assistance to the public with Breath Tests and ensuring that the laboratory has adequate supplies in stock.
Sets - entry of patient demographics and tests requested onto Apex, entry clinical details, antibiotic allergies.
If further information is required access iPMS.
Printing out of reports.
Sort into internal/external locations and type address labels (if required) for GPs and Consultants.
External Reports - check demographics, check correct test is completed, record receipt of same, date stamp and photocopy, scan and send to the required location when authorised by a scientist.
Invoices - check results are received, record invoice received, check costs and forward to the Chief for authorisation.
Keeping up to date with policies and procedures on line and SOPs within the various Labs (Q-Pulse system). Coordinating communications between the other laboratories who provide weekend cover.
Eligibility Criteria A good knowledge of Microsoft Office suite.
Should be familiar with iPMS, Apex & Plumtree.
Have an organised and methodical approach to work.
Ability to build strong relationships with colleagues.
Excellent organisational and planning skills.
Ability to assess and improve processes.
Excellent communication skills.
Attention to detail is essential.
Ability to work under pressure in a fast pace.
