The Role: The GEC are recruiting highly organized candidates with excellent interpersonal skills for the position of Events & Facilities Support in their Hospitality type role.
Responsibilities include preparing conference rooms, AV support and supporting all aspect of day-to-day operations for the events/operations team.
Work Location: The GEC office in the Guinness Enterprise Centre (GEC).
This is a full-time (35 hours per week) onsite role with in-person delivery.
The hours will typically be Monday - Friday: 8am - 4pm OR 9am - 5pm or 10am - 6pm.
Note: This role is event driven and will involve occasional weekend work, late evenings and early starts in line with business requirements.
A roster system and shift system will be operated.
Role Responsibilities: Event Setup & Support Responsible for the physical set up and presentation of rooms for events and meetings as directed by the Events and Operations team.
This will include all items such as furniture, flipcharts, lighting, heating etc.
and setup of the AV system/equipment.
Work with the Events and Operations team in maintaining a well-presented venue.
This will include tasks such as maintenance and cleaning.  Conference and meeting room reset on a daily basis and must be in 'show condition' at all times, for a busy events venue.
Check rooms before & after every booking to ensure high standards are met and issues with interior furnishings, fixtures or equipment are resolved.
Responding to Client needs in a timely and professional manner, ensuring any issues are escalated where required to the Events and Operations team.
  Facilities Support Work with the Operations team to prepare offices for incoming or departing clients.
Maximise the use of space within the building including rearranging desks/furniture to accommodate client teams within client offices.
Support our maintenance operative with day-to-day requirements including lifting and furniture placement.
Complete daily, weekly and monthly checks of H&S equipment including but not limited to building walkarounds, flushing of toilets and fire safety checks: extinguishers, break glass units, aovs (automatic opening vent units), and emergency lighting.
Ensure that a safe, secure and clean environment for staff, clients and visitors is maintained, including daily external litter picking.
Assisting with building upgrades including painting works.
Manage storage areas to ensure everything is accessible, stored correctly, and future storage needs are considered with new projects.
Escorting contractors, ensuring that work is completed to a satisfactory standard and the place of work is returned to order once complete.
Ensure compliance with all company Health & Safety policies.
Reception & Post Support Supporting our front-of-house team on reception during busy periods and providing cover for breaks/meetings.
Representing the GEC by creating a welcoming warm experience and upkeep high standards of the reception area, lobby area and loading bay area.
Assisting with daily phone/email enquiries/admin requests, post, packages, couriers, as required.
  The ideal candidate will: Be able to work on own initiative, can-do attitude.
Have experience in a front-facing customer role. Understand the Conference facility setups and rooms layouts (theatre, boardroom, breakout, u-shape).
Have previous experience of setting up for events preferable.
Fluency in English language.
Good customer service skills, and the ability to communicate with both coworkers and clients in a professional manner.
Happy to work in a fast-paced environment, where you will learn on your feet.
Be competent with a multitude of software packages in particular MS Office365 (Outlook, Word, Excel, Teams & other Virtual/Online platforms e.g., Zoom, Google Meet) Enthusiastic approach to work with a can do attitude.
Neat appearance and manner.
Flexibility to work outside normal hours when required.
