My client are looking to hire a highly effective administrator, with a track record of independently managing complex scheduling, preferably at a senior executive level. The role is an opportunity for a proactive and highly-organised candidate to work closely with senior leaders on topics of national and international importance. Candidates should be available for an immediate start.
About the role: Provide comprehensive support of the day-to-day duties of the Director through effective:Engagement with the Director on their priorities and delivery of key work items in line with those priorities, anticipating where proactive support can be provided.Calendar management, co-ordination of meetings (virtual and physical), minute-taking and co-ordination of briefing papers and reports.Ensure the organisation and smooth functioning of Directorate meetings, management team meetings, agendas and execution of follow up action items.End-to-end management of travel arrangements.Manage business correspondence of a highly confidential and sensitive nature to ensure the recording and issuance of responses to all such communications in a timely, sensitive and discrete manner and within required deadlines.Act as a contact point between the Director and staff to ensure an efficient and effective flow of information and communications.Assist with and/or coordinate, as relevant, event management, large meeting set ups and virtual meetings on various platforms so these happen seamlessly and the attendees have a very positive user experience.Requirements: Relevant experience of working closely with senior management, including experience of working on own initiative in an environment with a varied and heavy workload.Enthusiastic attitude with demonstrable use of initiative in previous roles, and the necessary flexibility to ensure the execution of the role to a high standard.Good knowledge of operations management, travel planning and coordination of meetings with internal and external parties, enabled by strong time management.Excellent skills and experience in MS Office suite of applications, particularly PowerPoint and Excel.Strong drafting and report writing skills desirable.Strong note-taking and organisational skills.Excellent interpersonal skills (discretion, confidentiality, sound judgement, anticipation of management needs, comfort when engaging with senior executives) and an ability to solve problems independently.Ability to prioritise and organise effectively.For more information contact Ingrid on ******
