Executive Assistant - Maynooth University Unijobs are currently recruiting for an Executive Assistant to work in the Access Office within Maynooth University.
We are looking for someone to commence ASAP and the role will have an initial contract of 9 months until May 2025.
The working hours are 35 per week, fully onsite and paid at a rate of €16.60 per hour.
Job Description Assist with tasks associated with MU's Laptop Loan Scheme.
Distributing laptops to new recipients of the Laptop Loan Scheme.
Categorisation of devices and updating laptop loans inventory Provide support to the Laptop Loans Coordinator.
Provide administrative support with the planning, delivery, promotion, and processing of financial supports to students including the Student Assistance Fund, 1916 Bursaries, Kickstart Scholarships, Disability Scholarship, and other scholarships/ financial supports provided by MAP.
Review and assess applications to the HEA Funded Student Assistance Fund (SAF).
Liaise with applicants to the SAF.
Provide Administrative Support to Student Financial Supports Officer.
Other duties as advised by line manager, and Head of Access Operations.
Have proficiency in Microsoft Suite of Programmes and strong IT Skills.
Maintain Organizational Standards and adhere with all Maynooth University and Access Office policies and procedures.
Characteristics: Strong communication (both written and oral) and interpersonal skills.
Excellent administrative and organisational skills, including evidence of managing complex workloads and successfully completing concurrent tasks with high quality output to strict, challenging and often conflicting timescales.
Maintain records in accordance with GDPR Regulations.
Excellent time management skills, the ability to plan and prioritise work and meet deadlines with accuracy and attention to detail across varying services and teams.
Proficient IT skills including excellent knowledge of MS Office (particularly MS Word, MS Teams and Excel) Basic experience of financial accounts/systems.
Data skills, experience of collating data, file management, data entry and reporting.
Ability to work independently, including the self-motivation to identify and undertake self-directed work.
Ability to liaise effectively with staff and students and maintain good working relationships with both internal and external colleagues.
