Job Description We are looking for a hands-on Facility Supervisor to manage the day-to-day operations, maintenance and logistics at our Dublin office. This role offers a consistent schedule of 30 hours per week, Monday to Friday, 9:00am to 4:00pm .
It combines facilities upkeep with shipping and receiving duties, ensuring efficient operations and compliance with health and safety standards.
Key Responsibilities: Facilities Maintenance & Management: Perform and coordinate routine maintenance and repairs on HVAC, electrical, plumbing and safety systems.
Schedule preventative maintenance to minimise downtime and extend equipment lifespan.
Liase with vendors for specialised maintenance, while keeping the facilities clean, safe and regulatory-compliant.
Maintain inventory of supplies and assist in facility improvement and sustainability projects.
Sit at the front desk and serve as the first point of contact for visitors; will be required to answer or receive calls as needed.
Health & Safety: Conduct safety inspections, address hazards and ensure compliance with HSA regulations.
Support emergency response procedures and collaborate with the Safety Supervisor on safety initiatives.
Shipping & Receiving: Manage daily shipping and receiving operations, ensuring accurate processing and documentation of shipments.
Inspect incoming and outgoing shipments, report discrepancies, and maintain up-to-date inventory records in the management system.
Inventory & Documentation: Maintain accurate records of all shipments and inventory levels.
Prepare and file shipping documents, including bills of lading and customs forms.
Assist with facilities budgeting and track expenses for cost-saving opportunities.
Qualifications About You: Leaving Cert.
(NQF 4 or 5) or equivalent, a qualification in facilities management, engineering, or a related field is preferred.
Minimum of 2 years in facilities supervision or similar role, with shipping/receiving experience preferred.
Working knowledge of building systems, maintenance procedures, and safety regulations.
Basic knowledge of Excel, Word and inventory management software; strong attention to detail and organisational skills.
Ability to lift up to 15kg; forklift certification is a plus.
Problem-solving skills, teamwork and good communication.
