Clanwilliam, a healthcare technology group in Dublin, Ireland, is seeking a Front Office Executive to join our team. The ideal candidate will have a flair for working with people, exceptional organizational skills, and the ability to handle a variety of tasks with a smile. As the first point of contact for clients and visitors, you will play a pivotal role in creating a positive and lasting impression at Clanwilliam. Reporting to the People & Culture Manager, the successful candidate will also have a positive attitude and the ability to work well as part of our People & Culture Team.
Responsibilities include but are not limited to:Welcome guests to the office and manage sign-in.Answer and direct phone calls, emails, and other forms of communication to the relevant department.Schedule appointments and meetings for the senior management team on occasion.Manage inbound and outbound office post.Manage office supplies inventory and place orders as necessary.Coordinate with building management and service providers for office maintenance and repairs (e.g. cleaning, security, and maintenance).Ensure compliance with health and safety regulations and maintain safety standards.Coordinate and book travel requests made by employees and the senior management team.Assist with company events, conferences, and meetings including catering and venue logistics.Raise purchase order requests and invoice payment requests.Provide administrative support to teams as needed.Manage company fleet and all queries relating to same.Coordinate corporate training bookings with providers.Communicate important updates to the company via email or Teams.RequirementsThe ideal candidate will possess the following qualifications, skills, knowledge, and attributes: Minimum of 2 years' experience in front office, receptionist, or customer service role.Excellent communication skills - both written and oral essential.Database management experience is an advantage.Highly organised with strong attention to detail.Ability to handle sensitive information using discretion and confidentiality.Will work well within a team environment and on own initiative.Other informationAt Clanwilliam, you can expect challenging projects, task ownership, continuous training and professional development, and ultimately, the chance to grow a career in an experienced company directly helping to improve patient care.
