The Role My client, a very busy, private healthcare facility is seeking an experienced Medical Secretary to join their team based in Dublin 18.
This is a part-time (32 hours p/week), permanent, office-based position.
As the Medical Secretary, you will be responsible for handling telephone inquiries from patients, scheduling appointments and procedures, preparing files for clinics, processing payments, and performing other administrative tasks necessary to ensure the efficient operation of the practice.
Tasks & Duties Handle incoming telephone calls professionally and courteously, ensuring effective call management and prioritisation of time.
Respond to emails addressed to the practice in a professional and polite manner, ensuring any required follow-up actions are completed promptly.
Schedule appointments, surgeries, and procedures with accuracy and efficiency.
Prepare patient files with all necessary information to support excellent patient care and effective clinic management.
Process financial transactions with precision and attention to detail.
Ensure accurate and timely follow-up of all patient-related correspondence as required.
Coordinate with various departments across hospitals, GP practices, and other establishments as needed.
Demonstrate proficiency in using a range of software applications.
Maintain a polished, professional appearance and demeanour at all times.
Foster a collaborative working environment, contributing positively to teamwork and shared goals.
Experience, Qualifications & Knowledge Minimum of 2 years experience in medical administration, ideally in a front-line role within a high-pressure environment, or an equivalent setting.
Demonstrates a high level of empathy and care toward patients.
Communicates professionally and effectively, both verbally and in writing.
Adheres to policies and procedures with exceptional attention to detail.
Takes ownership and responsibility for the quality and outcomes of their work.
Works collaboratively as part of a team, assisting colleagues, communicating effectively, and ensuring smooth handovers.
Displays flexibility to support the delivery of an effective and efficient service, adapting as required to meet changing demands.
Thrives under pressure, maintaining composure and delivering results in challenging situations.
Motivated by a genuine desire to provide outstanding care to patients.
