Unijobs are currently looking to recruit a Grade IV Clerical Officer in Galway University Hospital, within the Time Returning Office.
The ideal candidate will have immediate availability, be flexible, ambitious, and eager to learn and have a strong background experience working in an office environment as a Financial Administrator.
You will be well presented and strive to achieve your goals on a daily basis.
The successful candidate will be working a 35 hour working week on a Monday to Friday basis.
The role comes with an hourly rate of €18.48 per hour.
This position may be subject to Garda Vetting and Foreign Police Clearance, if applicable you will be required to obtain these prior to commencing in this role 12 month Contract Essential Requirements: The post holder will support the principle that care of the patient comes first at all times and will approach their work with the flexibility and enthusiasm necessary to make this principle a reality for every patient to the greatest possible degree Maintain throughout the Group's awareness of the primacy of the patient in relation to all hospital activities.
Performance management systems are part of the role and you will be required to participate in the Group's performance management programme Ensure the timely processing of time return details in respect of all departments at Portiuncula University Hospital and deliver a high level of service to staff in this regard.
Running Error reports and clearing errors appropriately to ensure correct payment of staff.
Assisting in the Running, reviewing, signing, submission and filing of the time entered report on a bi weekly basis to ensure the accurate return of staff hours for payment under the direction of the Staff officer.
Ensure the timely and accurate processing of time and attendance returns to comply with strict deadlines .
Entering and Ensure the accurate coding of all hours and attendance details processed in the assigned area.
Liaising with the HR manager and HR department under the instruction of the staff officer as applicable.
Ensure that all Staff/Management queries are followed up to fully resolve any issue(s) raised in relation to time returns.
Develop effective working relationships with all relevant stakeholders and provide support to front line supervisors/managers to ensure they are adhering to the HSE regulations, legislation, National Finance Regulations, revenue guidelines and audit recommendations in relation to documentation submitted to the TRO for payment purposes.
Promote and ensure full compliance with all Finance Policies & Procedures, Financial Regulations, HSE circulars and best accounting practices in relation to all transactions carried out in the assigned area.
Support the staff officer in the preparation of reports on department/service activity and financial data and other ad hoc reports as requested.
To co-operate with the introduction/enhancement of work practices, processes or computerisation in the Finance Department as required.
Contribute to the change agenda and initiatives within the Saolta University Health Care Group and work collaboratively with key stakeholders within the Group to achieve strategic and operational change Ensure that archives and records are accurate, maintained confidentially and readily available to the appropriate authority.
Supervision and well-being of assigned staff including training and monitoring of sickness/absences if required.
To support and participate in continuous in-house staff education and training.
Any other duties that may be assigned by the Finance/HR Manager/Management Accountant.
Excellent working knowledge of the Microsoft Office Suite, particularly Excel.
Ability to work on own initiative.
Ability to work under pressure and manage time efficiently.
Prior experience dealing with confidential information.
Excellent knowledge of Microsoft Excel.
Excellent administration and organisation skills and the ability to multi task.
Key Accountabilities: Assist with day-to-day operations of a fast paced and changing environment.
Provide clerical and administrative support to the senior administrator and assist the Manager if and when required.
Ensuring accuracy while dealing with high volumes of important administration and often-sensitive documentation.
Deal with other members of the organization and multi -disciplinary teams in a professional manner.
