The Grade IV Medical Secretary will ensure that all duties, roles and responsibilities are completed to the required operational standards in line with the competency framework.
KEY RESPONSIBILITIESEffective delivery of all departmental administration dutiesProvide administration/secretarial cover based on service requirementsComplete duties in line with operational standardsAdhere to all departmental policies and proceduresContribute effectively to service development / service improvementDeliver a professional and efficient service to both patients and hospital staffWork towards departmental Key Performance IndicatorsEnsure confidentiality of patient details (records) at all timesWork as a part of the wider Directorate TeamEscalate to the Supervisor all queries / issues which cannot be resolved locallyFollow the Supervisor's lead and directionAttend all Team meetings as directed by the Supervisor / Administration Team ManagerEnsure that work completed is done so in an accurate mannerComplete tasks allocated to the highest standard set by the hospitalEnsure that any handovers are completed on time providing all relevant details to the supervisorReport any potential risks to the SupervisorAssist in departmental audits as assigned by the SupervisorRepresent MMUH in a professional manner at all timesReception and telephone dutiesCollect and file laboratory reports, retrieve charts where indicatedPerform all typing duties as required i.e. clinical letters and / or reportsShow drive and initiative in completing tasks Planning, organising and problem solvingPlan, organise and control service delivery within the administration duties on a daily basisOrganise outpatient clinics as required; book appointments, retrieve medical record files for clinics, register clinics and maintain outpatient waiting lists as directed by the SupervisorOrganise nurse led clinics; scan referral documentation, book appointments, register clinics, organise follow up appointments, manage inpatient day cases as directed by the SupervisorParticipate in research projects Escalate any conflict related matters to the supervisorAttend any training which may be advised by the Supervisor / ATM MEDICAL SECRETARY GRADE IVCommunicate effectively with other hospital wide departments and / or directoratesRepresent the department / directorate in a professional mannerAttend to patient / visitor queries in an efficient and timely mannerMaintain a professional manner at all timesMaintain composure during pressurised timesAddress all patient queries in a polite and professional mannerHave a positive approach to your secretarial duties and responsibilitiesDisplay competence in all duties completed in line with the competency frameworkObserve strict patient confidentialityWork as part of the wider Directorate TeamUndertake any other relevant duties as requested by the management teamSupport and adapt to changes that are implemented to improve the servicesThe duties and responsibilities contained within this Job Description are not exhaustive and may be reviewed by the Administration Team Manager as required.Should the role be of interest to you please apply with your current CV
