HR Administrator, Talent Acquisition and Relief (Full Time)Dublin, IrelandDescriptionHR Administrator, Talent Acquisition and Relief, Dublin Location: Dublin 8 & Hybrid Contract: Full-time, Permanent The HR Administrator, TA & Relief, supervised by the Senior TA Specialist and the Senior HR Manager will manage the Relief Panel for the Organisation and support the TA team with administrative duties.
What you will do: Liaise with Line Managers around resource requirements for Relief cover in their projects.Co-ordinate and manage the Relief Calendar and Relief panel for the organisation.Create road maps and strategic recruitment for Relief candidates for the organisation.Influence and drive continuous improvement through creating and developing good working relationships with Managers and employees across all levels.Gather and manage a database of applicants and potential candidates.Full cycle relief recruitment; manage all recruitment advertising, source, screen, prepare interview packs, interview, pre-screening checks, offer and regrets to candidates.Compile and update relief job descriptions and interview plans where necessary.Participate on interview panels as required.Follow up with candidates post-interview, e.g., offers, regrets.Provide Line Managers with regular status updates.TA Administration: Responsible for collating and managing all Talent Acquisition paperwork in an accurate, timely & efficient manner.Manage and respond to all internal and external queries in the Talent Acquisition inbox within agreed timeframe.Responsible for the upkeep of all accurate data within HR systems and spreadsheets.Coordinate the weekly recruitment advertisements through various platforms, inclusive of placing job adverts and updating job descriptions.Regularly review, shortlist, and conduct telephone screenings for suitable candidates.Liaise with the TA team to schedule candidate interviews in a timely and well-organised manner.Responsible for making job offers to successful candidates & drafting and issuing official offer documentation.Participate in and contribute to weekly Talent Acquisition team meetings in line with the organisational values.Support the Talent Acquisition Team on various HR Projects to ensure continuous improvements and streamlining of processes.Generate reports in TA when required for weekly/ monthly metrics and board reports.Provide an administrative support function to the HR Team when required.General: Work within the framework of the overall objectives of Focus Ireland.Undertake such other duties as might be reasonably assigned from time to time in consultation with your supervisor and manager.Participate in team and one-to-one meetings on a regular basis, as required.Be vigilant to any Health, Safety and Welfare risks in the workplace and bring any concerns to the attention of your line manager or Health & Safety Representative.Participate in relevant training and development programmes relevant to the HR function.Be reasonably flexible in relation to the hours of work in order to meet the requirements of the role.Have a flexible approach to the work in response to organisational change, development and review of best practice.What you will need: Previous administrator experience in the HR field.Relevant third level qualification at degree level.Must have excellent organisational skills with a strong focus on attention to detail.Excellent interpersonal and communication skills.Ability to write clear and accurate reports, analyse data and present in a confident manner.Proficiency in MS Word, Excel, PowerPoint, SharePoint, MS Teams and database systems.Ability to work as part of a team which shares a common goal.Ability to use initiative and seek direction when appropriate.Ability to anticipate problems and generate solutions.Ability to work under pressure and prioritise competing demands.Ability to deal with confidential information and work with integrity.Focus Ireland is an equal opportunities employer.
