Job Description Company information and introduction: The purpose of the Insurance officer appointment is to provide professional support to the Organisations membership at all levels (Group, County, Provincial and National) in relation to all aspects of their insurance requirements.
Working Relationships: The Insurance Officer will be able to create professional relationships with staff, volunteers, Insurance broker/s and Insurers as appropriate to discharge the duties of the role effectively.
Key Responsibilities and Duties: The responsibilities include, but are not limited to, the following:
Annual Insurance Renewal:Collaborate with the CFO to coordinate the annual insurance renewal process.Ensure timely submission of required documentation to insurers.Assist with reviewing and analysing policy terms and conditions to guarantee comprehensive coverage.Claims Management:Evaluate and analyse claims history to identify patterns and potential areas for risk reduction.Work with relevant stakeholders to implement strategies aimed at reducing the number of incidents.Liaise with insurance brokers to expedite claims processing and resolve any issues.Scout Group Support:Provide guidance and support to scout groups with their insurance queries.In conjunction with the Insurance Brokers, provide support to Scout Groups to assess their insurance needs and recommend suitable coverage.Facilitate communication between Scout Groups and insurance brokers to address specific requirements.Travel Insurance Arrangements:Assist Scout Groups within the organisation in obtaining suitable travel insurance under the Group Travel Insurance policy.Coordinate with Insurance brokers to ensure that travel insurance providers provide seamless and comprehensive coverage.Provide guidance to Scout Groups on travel insurance policies and procedures.Legal Case Reporting:Monitor and track legal cases relevant to the organisation.Report legal matters through the Insurance Brokers to the insurer in a timely and accurate manner.Support the Organisation's Legal subcommittee with insurance queries/requests.Records Maintenance:Maintain an organised and up-to-date record of all insurance policies.Ensure that policy documents, endorsements, and related information are readily accessible.Conduct periodic reviews to confirm policy accuracy and relevance.Meeting Participation:Attend insurance meetings with Insurance Brokers and Insurers.Take minutes of discussions, decisions, and action items during meetings.Distribute minutes to relevant stakeholders and follow up on action items.Accident/Incidents:Maintain a record of accidents/incidents, including the administration of Personal Accident and Public Liability Claims.Directors & Officers / Trustees Insurance:Working with the Organisation's Insurance brokers to support the members, Trustees, Officers and Directors with queries and any reporting obligations.General:To undertake any such other reasonable tasks that may be assigned from time to time.Key Skills and Competencies: Essential Requirements: Possess a reasonable level of education, ideally with a General Business degree or similar.Possess a Certificate in Insurance Practice (CIP) with The Insurance Institute of Ireland (III) or higher.Good analytical and problem-solving ability.At least 2 years of previous experience in a similar role.Attention to detail.Computer literacy - the ability to use Excel, CRM, and Microsoft Word.An ambitious self-starter with a proven record of focus on results.Exceptional oral and written communication skills.Demonstrable ability to relate to people from diverse backgrounds.Excellent meeting, project management and people skills.Positive and energetic attitude.Attention to detail.Ability to use standard computer software for word processing, spreadsheets, databases, and presentations.Sound judgement and a strategic mindset.Possess general ability and suitability to discharge the role of Insurance Officer successfully.An ability to deal confidentially with sensitive material.Desirable: Experience in the not-for-profit/charity sector.Experience in a membership Organisation.A natural and enthusiastic networker.An understanding of Scouting Ireland's methods, ethos and aims.How to Apply: Applications should be submitted no later than Tuesday 2nd January, 2024 and must include:
