About The RoleWe are seeking a highly organized and detail-oriented Administrative Assistant to join our Dublin office. The position involves diary management and travel planning for the senior management team, requiring a strong ability to multitask and work under pressure. The successful candidate will provide vital support to senior management's daily operations and ensure the smooth execution of various administrative tasks and travel arrangements.
What will you be doing?Managing calendars, scheduling appointments, and handling meeting logistics for senior executives.Coordinating and managing all aspects of international travel arrangements, including flights, accommodations, visas, transportation, and itinerary planning.Preparation and processing of expense reports.Ensuring compliance with company policies and procedures related to travel.Handling general administrative duties, such as answering phone calls and responding to emails.Collaborating with various departments to schedule and coordinate meetings, conferences, and events.Meeting management, preparing agendas, collating information, minute taking, and following up on actions.Assisting with the preparation of presentation materials, reports, and other documents as required.Maintaining and organizing confidential files and records.Processing and monitoring of business invoices.Conducting research and providing support for special projects, as assigned.QualificationsWhat we're looking for:
Previous relevant professional experience from a similar role in financial services, ideally within Investment Management.Exceptional communication skills, both written and verbal.Strong organizational skills and the ability to prioritize tasks effectively.Proficiency in travel management systems and Microsoft Office Suite.Excellent problem-solving skills and the ability to think critically.Flexibility and adaptability to handle changing priorities.Ability to maintain confidentiality and handle sensitive information with integrity.Must be able to work both independently and as a team.Educated to Leaving Certificate or equivalent.Please submit your CV along with a cover letter highlighting your relevant experience and interest in the position.
