Practice co-ordination Team at Frontier We are looking for a Junior Personal Assistant to join Frontier in our Dublin office on a permanent full time basis.
Our growing Dublin office is made up of c.18 people and the successful candidate will support the office with Office Management.
This role sits as part of a wider team of c.25 Executive Assistants (EAs), Personal Assistants (PAs), and Team Assistants.
We aim to provide a high-quality, professional, efficient and proactive support service to Frontier, continuously striving to improve our skills and capabilities across the firm to adapt to change and embrace new opportunities.
Job Description The role will report to the Practice Co-ordination Team Lead, reporting into the Director of Facilities, but will involve the candidate working closely on a day-to-day basis with the Executive Assistant in Dublin and the wider Dublin team.
This description is only a guide to what might be required but the following provides an overview of the core responsibilities in this role.
Specific tasks/assignments will be agreed with the Team Lead, and delegated by the Executive Assistant, dependent on the requirements across the business.
Front of House Support:managing phone calls, meeting and greeting clients, distribution of post, arranging couriers; Booking travel:including adding travel itineraries to diaries, co-ordinating visa applications and ensuring Covid and Brexit requirements are adhered to; Expense Management:preparing and submitting cash and credit card expenses for the Dublin team; Diary management: Supporting the Executive Assistant with diary management for the Associate Director and Director in Dublin; Contacts Management:updating and maintaining our Frontier database; Business Development:support the Pitches & Proposals team and the Executive Assistant by assisting in the preparation of client proposals and the supporting documentation required; Working with other Business Management Teams:to support Finance with invoicing clients; Working and collaborating with the wider Practice Co-ordination Team:working collaboratively, flexibly and openly, supporting each other as our capacity allows.
Being helpful and responsive to the needs of colleagues and clients, taking ownership of tasks and getting things done.
Essential Requirements Confident in using all Microsoft Office programmes (Excel, Word, Outlook, PowerPoint) to a good standard Self-motivated, with the ability to work proactively and independently.
Excellent organisational skills, attention to detail, and the ability to manage multiple tasks and priorities.
Confident in building positive working relationships across the company.
Excellent written and verbal communication skills.
Strong team player with a flexible, proactive and professional attitude Language skills Fluent English Desirable Skills and Experience Language skills French, German or Spanish Measures of Success Good relationships developed across the Firm with staff knowing who you are and how you can help; Good feedback from stakeholders across the firm, particularly around responsiveness, ease of working with, outcome focus and knowledge; Excellent management of multiple projects and initiatives, maintaining good outcomes simultaneously; Demonstrates the ability to be change-orientated, indicating a flexible and adaptable approach to problem-solving, decision-making, and dealing with new circumstances.
