Position DescriptionThe role is as a 12 month contract as a member of the ESB Legal team providing high quality legal administrative support to the legal function.
The successful candidate will join the Property, Planning & Environment and Employment Law (PPEEL) team. The PPEEL Team has a strategic role in assisting the ESB Group in delivering its 2040 Net Zero Strategy.
Key ResponsibilitiesAssisting and supporting the legal function with high quality administrative and secretarial support, including attending Court Offices to stamp and file documents, online stamping on the ROS system, management of the execution of documents and contracts (swearing and sealing) as instructed by solicitors.File administration and file management, updating and management of Legal Practice Management System content and access, producing file reports and quarterly report input, delivery of tasks assigned by solicitors on files including file set up and archiving of files, contracts, bonds, and other documents, assisting Solicitors in management and record keeping of lodgment of purchase monies.Producing high quality legal documents, letters and reports, production of booklets for court, property licenses/deeds and standard commercial contracts using agreed precedents and templates with minimal supervision.Photocopying and scanning of documents and post.Responsibility for processing and monitoring of invoices for payment on SRM.Responsibility for processing payments through OTV, EFT and CPC.Responsibility for record keeping of legal financial payments for budget management.Assisting in production of job aids of Admin Section tasks and functions.Assisting the management of subscriptions and external support services, renewals, management of PRA account top up.Assisting with organisation of CPD events including CPD record keeping, organisation of team events.Liaising with internal and external clients.Performing other legal administrative duties as assigned from time to time to assist in the delivery of legal services to the ESB Group.Experience and QualificationsLegal secretarial administrative qualification and equivalent work experience.Demonstrates a high level of competence in legal secretarial skills and the use of the Microsoft Office Suite including SharePoint.Fast typing speeds and Dictaphone typing skills.Ability to apply sensitivity and discretion when dealing with confidential information.Strong written and verbal communication skills.Ability to be proactive and work independently within tight deadlines.Good organizational, interpersonal and team working skills.High degree of attention to detail.Demonstrates good working knowledge of legal terminology and standard legal documents.Demonstrates knowledge of ESB systems such as FMIS, OTV, SAP.LocationThis position will be based in Fitzwilliam 27, Dublin 2. The successful candidate may work flexibly within their jurisdiction with attendance at the workplace for in-person collaboration on at least one anchor day per week. All smart working arrangements are subject to manager approval and ongoing review, based on the operational requirements of the role, the team, and the individual.
