We are recruiting an experienced Legal Secretary or Legal Executive to work for a Legal Practice in the Stillorgan/Sandyford area.
Min 3-4 years previous conveyancing experience is required. This is a general practice so litigation is also required.
The role requires strong organizational skills, attention to detail, and a thorough understanding of the conveyancing process.
Key Responsibilities: Managing diaries, scheduling appointments and meetings Handling all outgoing and incoming emails and calls Opening and maintaining files Conveyancing Tasks: Prepare and process various conveyancing forms and documents such as contracts, transfers, mortgage documents, and completion statements. Conduct searches and obtain property information from Land Registry and other relevant bodies. Liaise with clients, estate agents, mortgage lenders, and other solicitors regarding transaction progress. Assist in the drafting and reviewing of legal documents related to property sales, purchases, and leases. Ensure compliance with all regulatory and procedural requirements throughout the conveyancing process. Case management Client Interaction: Serve as the primary point of contact for clients, providing updates and answering queries. Schedule and confirm client appointments and meetings. Assist clients in completing necessary documentation and provide guidance on procedural matters. Financial Duties: Prepare and manage invoices, billing, and client accounts. Handle financial transactions related to conveyancing, such as deposits and payments. Assist with the reconciliation of accounts and prepare financial reports as needed. Miscellaneous Duties: Stay updated with changes in conveyancing law and practice. Provide general administrative support to the legal team as required. Participate in team meetings and contribute to process improvements. Qualifications and Skills: Experience: Previous experience as a legal secretary, particularly in conveyancing, is highly desirable – min 3 years Skills: Excellent typing skills, dictaphone included Proficiency in Microsoft Office Suite and legal case management software. Strong organizational and time management skills. Excellent written and verbal communication skills. Attention to detail and accuracy in document preparation and data entry. Ability to manage multiple tasks and prioritize workload effectively. Strong interpersonal skills and the ability to work well in a team. Working Conditions: Full-time position with standard office hours 9am-5pm Monday-Friday, odd occasional overtime may be required to meet deadlines. Salary: Range €40-50k depending on experience
