Logistic Coordinator

We are seeking a highly organized and proactive Logistics Coordinator to join our team.
The ideal candidate will be responsible for managing all aspects of accommodation, daily transport, and flights for our agency workers.
This role requires excellent communication skills and the ability to ensure that both our suppliers and candidates are satisfied with their arrangements.
Key Responsibilities: Accommodation Management: Source and secure suitable accommodation for agency workers.
Oversee the maintenance and upkeep of all provided accommodations.
Handle any issues or emergencies related to accommodations promptly and effectively.
Transport Coordination: Arrange daily transport for agency workers to and from their work sites.
Manage the scheduling and logistics of all transportation needs.
Maintain and ensure the availability of transport resources.
Flight Arrangements: Book flights for agency workers as needed.
Ensure all flight arrangements meet the needs and preferences of the workers.
Supplier Liaison: Establish and maintain relationships with accommodation and transport suppliers.
Negotiate contracts and manage supplier agreements.
Ensure all suppliers meet our standards for quality and service.
Candidate Liaison: Communicate with agency workers to understand and address their accommodation and transport needs.
Provide ongoing support to ensure a positive experience for all candidates.
Handle any concerns or complaints from candidates regarding their logistics arrangements.
Site Onboarding and Inductions: Coordinate site onboarding for new agency workers, ensuring they are well-prepared for their roles.
Conduct or arrange site inductions to familiarize new workers with their work environment, safety procedures, and company policies.
Travel and Transportation: Travel around Ireland and to mainland Europe as required to manage logistics operations, meet with suppliers, and support agency workers on-site.
Use the provided 8-seater van to transport temporary agency staff as needed, including during out-of-hours situations.
A company vehicle will be provided to support with the role.
Logistics Expansion in Europe: Manage logistics operations in other European countries, including Denmark, Germany, and Sweden.
Establish logistics operations in new countries where we do not have an existing setup.
Identify and work with local suppliers to ensure all logistics needs are met in these new locations.
Proactive Planning: Take initiative in planning and organizing logistics operations.
Formulate and manage your own agenda and tasks, ensuring that all logistics needs are met without the need for micromanagement.
Administrative Duties: Maintain accurate records of all accommodation, transport, and flight arrangements.
Prepare regular reports on logistics operations and identify areas for improvement.
Manage the logistics budget and ensure cost-effective solutions.
Qualifications: Proven experience in logistics coordination or a similar role.
Strong organizational and multitasking skills.
Excellent communication and interpersonal skills.
Ability to work independently and as part of a team.
Proficient in Microsoft Office Suite and other relevant software.
Experience in negotiating and managing supplier contracts is a plus.
A proactive and problem-solving attitude.
Must have a valid EU Driving Licence.
