Job Description In a nutshell As an Office Coordinator you will be taking your previous experience in office administration towards that next step in office management, by having overall responsibility for overseeing the day-to-day management and maintenance of the office and its facilities.  Embracing change management, you will be implementing new ways of working, as we evolve as an Organisation.
You will have an opportunity to apply your inter-personal and customer service skills to assist and support all the members at the Office.  Where will you be based and what business will you support?
You will be based in Dublin, and support our Office Cost Management business unit, as you report to the Human Resources Business Partner and Site Director.  How can you help us?
  You will: Manage and oversee all aspects of office management and administration to ensure the smooth and effective running of the office.
Manage and oversee office facilities, ensuring office conditions are maintained and repairs conducted as needed.
Act as a point of contact for the Building Management and Landlord on all building related topics, ensuring compliance with building health and safety requirements, and any issues are reported in a timely manner.
Work closely with the HR and IT crews to manage and maintain an accurate inventory of equipment purchased and provided to employees.
Work closely with the HR Crew and Site Director on all aspects of Health and Safety within the Office, ensuring reporting of issues is handled in a timely and sensitive manner.
Ensure Management are kept informed of any issues or concerns within the office, providing reports as and when requested.
Support employees and crews with various administrative tasks as needed (meeting room set-up, ordering supplies, scheduling meetings, coordinating visitors).
Manage all aspects purchasing for the office via our purchasing system, Coupa, including liaising with Finance and Purchasing teams in the National Service Centre when reviewing and tracking invoices, payments, reporting etc.
Assist and support visitors to the office.
Managing office systems such as the car-parking app, the door access system etc.
Liaise with suppliers and vendors on office systems, such as fire system, air conditioning systems etc.
Support Management through the maintenance and improvement of effective filing systems and records.
Work closely with HR to establish and maintain office policies and procedures, including health and safety.
Manage and coordinate office/employee events both on and off-site.
Liaising with vendors and reporting back to Management Crew, making recommendations on best available options.
Ad-hoc administration and management tasks as needed.
Become privy to confidential information relating to the office and Eurofins network of companies, by exercising discretion in all aspects of the role and always maintaining confidentiality.
Qualifications Are you our kind of extraordinary?
You have : 3- 5 years of experience in an office management/administration role.
Strong knowledge of general office administration procedures and responsibilities.
Excellent communication skills, in English, both verbal and written.
You are: Proficient in using Microsoft Office suite (Excel, PowerPoint, Word and Outlook) Able to work independently, and to plan and execute multiple tasks in parallel with little supervision.
Able to maintain discretion and confidentiality Proficiency in a second European language would be an advantage.
Other Competencies: Strong interpersonal skills and ability to build and maintain strong and effective relationships with colleagues and third parties.
Excellent customer service skills.
Excellent time management skills.
Ability to remain calm under pressure and balance workload.
Diligence and strong attention to detail.
Strong understanding for the need for discretion is a requirement.
Strong record keeping skills.
Ability to work both independently and as part of a team.
Practical, can-do attitude.
What else should I know?
  The following qualifications/skills are an advantage: A qualification in Secretarial Studies, Office Administration Studies or in a relevant similar discipline  Proficiency in a second European language.  Additional Information What can we offer you?
