Role: Operational Support Officer Location : The role will be based initially in Blackrock House, Salthill Contract Available : Permanent Contract (35hours a week).
Closing Date: Wednesday 4th December 2024 The purpose of this role is to provide an efficient and responsive administrative and organisational service to the Director of Operational Supports and Services and Area Service Managers.
Key Duties: Provide an efficient support service to the Director of Operational Supports and Services and Area Service Manager.
Conduct regular diary management meetings with the Director of Operational Supports and Services and Area Service Manager.
to discuss upcoming assignments, engagements, schedules and other requests.
Prepare and manage correspondence on behalf of the Director of Operational Supports and Services and Area Service Manager.
Maintain accurate records of paper and electronic correspondence on behalf of the Director of Operational Supports and Services and Area Service Manager.
Create and maintain efficient office systems, including data management and filing.
Assist with operational budget matters.
Minute meetings as directed. Complete research/compile data on behalf of the Director of Operational Supports and Services and Area Service Manager.
Prepare agendas, documents, reports and presentations.
Assist with the collation of Business Cases.
Collate statistics for the HSE and other relevant bodies, i.e.
Key Performance Indicators, Residential and Respite Data, and Monitoring Reports etc.
Support the completion of annual Service Arrangement with HSE and third party SLA's.
Support and assist in matters relating to HIQA, QMIS reports and Quality & Compliance (quarterly reports, action plans, notifications, etc.).
Representative on internal committees as requested i.e.
Day Service Review Committee, Access to Service Committee and any other committees as requested.
Representative on external committees e.g.
School Leavers and Progressions, Intellectual Disability Database Committee and any other committees as requested.
Maintain the Internal Intellectual Disability Database.
Maintain the National Ability Support System (NASS).
Essential Criteria: Hold a comparable and relevant third level qualification of at least level 6 on the National Qualifications Framework maintained by Qualifications and Quality Ireland, (QQI).
A minimum of 3 years in an administration or similar role.
Experience of diary management in a fast-paced office environment.
The ability to exercise good judgement, discretion and confidentiality, to communicate effectively, verbally and in writing, and to co-operate in a team environment with a person-centred philosophy.
Full current driving license with access to your own vehicle (mileage will be paid at the appropriate rate).
