Excellent communication skills including strong typing/audio typing skills with a high-level of attention to detail Experience with organising Outlook calendar / email inbox management specifically on behalf of others. A working knowledge of SAP, CRM, SmartTime and ChromeRiver expense management systems would be a definite advantage but not essential as training will be provided. Prioritising work, using time management and organisational skills. Be able to work under pressure. Excellent administration skills with an ability to work unsupervised on day-to-day duties and tasks. Must possess an ability to multi-task with a strong attention to detail and a sense of urgency. Proactively look for and take on tasks and provide regular feedback on status. Reliability /Flexibility. Highly discreet and confidential. Here is what you can initially expect: General administrative duties to include electronic filing, processing expense claims, incoming and outgoing post, photocopying, etc. Organising attendance at conferences and events and preparing high quality presentations and materials. Working with the corporate travel agent to coordinate cost-effective and often complex domestic and/or international travel arrangements and itineraries. Secretarial duties for Partner and Directors – comprehensive and proactive diary and email inbox management. Provide administration assistance for Partner and team including meeting room bookings, conference on Teams and Zoom, ordering catering, printing agendas and documentation for meetings etc. Arrange weekly/monthly meetings as required – prepare meeting packs as necessary. Prepare Power Point presentations and assist on proposals/bids – liaise closely with internal departments such as Marketing. Maintain internal databases – e.g., proposals/CVs/credentials. Become involved in marketing initiatives/ event management, if and when required. Coding of invoices and generating client fees. Liaise and work with secretaries in other departments – actively share knowledge. Provide cover for other secretaries in their absence. Process expense claims. Input of timesheets. Organise team lunches, nights out/client entertainment. Assist with any other ad-hoc projects and duties as appropriate. Your team: You will be joining a team of 8 PAs and assistants in the FS Tax Department, and you will be assigned to two Partners and a team of managers and associates. This role is based in our Harbourmaster office in Dublin 1.
