ROLE SUMMARY: IBAT College is seeking to recruit an experienced administrator to join the academic programme support team as a Programme Administrator.
The successful candidate will be required to undertake a wide range of administrative duties to support the academic cycle of activities.
Reporting to the Programme Manager or nominee, the role requires flexibility regarding the allocation of specific duties and will be further defined and developed as the college expands and the scope of its activity develops.

KEY ACTIVITIES AND RESPONSIBILITIES: To provide high level administrative support to academic programme related activities in IBAT. To ensure the provision of an efficient and collegial administrative service to colleagues and students. To provide appropriate advice and support to students including responding promptly to queries, providing programme related information and information on college policies and processes, forms required, etc. To communicate relevant information across the academic lifecycle with other programme teams and staff To support student induction, orientation and the preparation for open day events. To provide administrative support for programme level meetings To process curriculum changes including assistance with the preparation of documentation for changes relating to modules, calendars, etc. To support the examination process in IBAT To liaise with other staff across IBAT to support programmes as required. To engage with and support the strategic development of programmes in IBAT including supporting in its bid for accreditation. To support the development and implementation of standard operating procedures in IBAT. To ensure the availability of information as required, for rankings, reviews, accreditations, and other quality procedures. To manage routine correspondence, draft replies as appropriate and maintain an efficient correspondence filing and tracking system. To work flexibly as part of the undergraduate/postgraduate team in IBAT and to undertake other administrative duties as assigned and as requested to include those that contribute to the operations and strategic priorities of the undergraduate/postgraduate programme teams. To support academic staff and students, as required including on work based learning related academic activities. Any other duties as assigned by the Academic Manager or nominee including participation on committees and working groups. REQUIREMENTS FOR THE ROLE: Qualifications (Essential): Relevant qualification, i.e.
undergraduate degree Knowledge and Skills: Detail orientated and prior experience of good database management and excellent record keeping. Exemplary organisational skills and a proven record of flexibility and the ability to work in a diverse and challenging environment with a varied workload. Excellent verbal and written communication, presentation, interpersonal and relationship building skills. Experience of drafting of documents, report writing and demonstrated attention to detail. Experience in servicing meetings and committee structures, including preparation of meeting papers, scheduling, co-ordination of action points and decisions and minute taking. Proven ability to work on own initiative as well as proactive, positive, and collegial approach to working as part of a team. Excellent IT skills and competence in full range of G suite and Microsoft Office applications, specifically Excel. Experience (Essential): Substantial administrative experience (2+ years) working in a fast-paced environment with multiple competing priorities. Experience of actively building positive working relationships at all levels. Experience of working within identified policies and procedures Experience (Desirable): Administrative experience in a higher education or training environment START DATE: As soon as possible.
