The Senior Staff Officer (Grade VI) is an administrative position within the Registrar & Vice President for Academic Affairs general functional area. The Senior Staff Officer will assist the Examinations Officer (Grade VII) in day-to-day administration of the Examinations Office. The post will require regular contact with students, staff and external stakeholders. The Senior Staff Officer will also deal with confidential and personal information. Location, level and relationship within management structure: The appointee will work under the overall direction of the Academic Administration and Student Affairs Manager and under the supervision of the Examination Officer - Grade VII. This line management arrangement may be amended as MTUs organisational structure involves over time. Please note the postholder may be required to travel between MTU Campus locations. The postholder will use initiative and forward-planning, working under the supervision of the Examinations Officer and liaising with multiple functions within MTU. Duties and Responsibilities of the role: Support the Examinations Officer in the development of appropriate systems and structures to enhance operations. Actively promote and encourage improvements, efficiencies and collaboration within the Examinations Office. Support the implementation of new systems as required. Manage the process and production of examination papers. This will include the dayto-day administration and support of the Universitys Examination Paper Management System, MAXe. Supervise staff engaged in examination paper management, examination results processing. Work closely with the Banner Student Records System Team in relation to the processing and issuing of examination results. Prepare and compile reports for the Examinations Office and submit these promptly. Proactively engage with all stakeholders in communicating the processes of the Examinations Office. Liaison with the University Executive, Senior Staff and Central Services Managers of the University and other staff and stakeholders as required. Dealing with correspondence on all matters relating to the functioning of the Examinations Office. Other duties that may arise from time to time as directed by the President or nominee. Note: The successful candidate may be requested to work outside office hours including evenings and Saturdays, at peak exam times. Time in lieu or paid overtime is allowable in these instances. The successful candidate will have experience as follows: Essential Have obtained at least Grade D3 (H6/O6) in five subjects in the Leaving Certificate Examination (higher, ordinary, applied or vocational programmes) or equivalent OR have passed an examination at the appropriate level within the QQI qualifications framework which can be assessed as being of a comparable to Leaving Certificate standard or equivalent or higher OR have appropriate relevant experience which encompasses equivalent skills and expertise. Have experience in a post which indicates the applicants potential to perform the main duties of the post. Have a good knowledge and understanding of the University. Strong attention to detail and accuracy. Excellent organizational skills, and the ability to manage a varied and demanding schedule of competing priorities within tight deadlines. Proficiency in the use of information and communication technologies including the Microsoft Office Suite, particularly Word, Outlook, Excel and Teams. Know-how and skills in the use of IT and information systems generally. Good verbal and written communication skills, with the ability to communicate well orally, in writing, or via electronic means, as appropriate to audience requirements. Ability to draft reports and a knowledge of the skills associated with this. Well-developed interpersonal skills, and the ability to establish and maintain effective working relationships with internal and external stakeholders. Exhibit discretion, tact, courtesy and sound judgement when dealing with students, academic staff, professional, managerial and support staff, external parties and individuals. Ability to maintain data confidentiality of all times. Ability to be adaptable and responsive to the varied and dynamic work environment which is necessary for the efficient operation of the Examinations Office. Good administrative, office management and organisational skills. Ability to work on their own initiative and as part of a team. Fluent in written & spoken English. Evidence of self-development. Demonstrated adaptability and flexibility. Ability to develop new skills as may be required by the role. Have the requisite knowledge, skills and competencies to carry out the role.
