JOB SUMMARYThe Project Coordinator is responsible for project coordination within Transfer Agency. He/she will actively participate in project meetings, monitor the progress of assigned projects, and provide updated status to the business units. The Project Coordinator will document issues, coordinate solutions, and monitor their closure. Additionally, the Project Coordinator is responsible for the coordination of testing and implementation of projects, and will assist in the development of procedures, controls, and training. The Project Coordinator is expected to work on several small projects simultaneously.
The Project Coordinator will also assist the Project/Change Managers in gathering requirements information, preparing HLE's, communicating with clients, preparing project artifacts, and status reports, and will be responsible for aspects of project delivery. This role interacts with all groups involved in the project lifecycle, both internal and external, with the ultimate goal of ensuring successful project completion.
JOB DUTIESExternal and internal reporting related to in-flight projects, overall client pipeline status updates, and preparation of presentation decks for both internal and external stakeholders.Assist Client Project/Change Managers in the preparation and delivery of projects and key client artifacts.Assist with the assessment, categorization, and management of new Client Change Requests, preparation of client communications, and delivery of HLEs back to the client.Support the Project Management Governance process as outlined by the Project Management Office. Assist Project/Change Managers with governance compliance and ensure completion of all project artifacts.Preparation, implementation, and clear communication of plans to all stakeholders.Liaise extensively with other departments, stakeholders, and clients.In conjunction with the team manager, ensure proactive identification and management of project risks, ensuring that all stakeholders understand key risks and that required mitigation steps are completed.Thorough documentation management throughout the project lifecycle, including collation of all required sign-offs.Issue tracking and management, ensuring stakeholder agreement on resolution steps.Report project status and issues to business units and senior executive stakeholders regularly.Assist Project/Change Managers with budget management and project cost control, including gathering project cost actuals upon completion and preparing draft invoices for delivery to the Client Relationship Teams.Interface with other business units involved in the project and coordinate the project team and activities across all organizations.Coordinate internal Legal & Risk requests.Engage with Internal and External Audit teams when required.Client-facing activities and communications.
