Role Purpose We are looking for an ambitious Accounts Assistant to provide support to the financial operations team by managing daily accounting and month end tasks. The candidate must have aptitude for new systems, strong attention to detail and ability to work by own initiative.
Reporting to: Finance Operations Manager
Key responsibilities: Managing incoming emails to the Finance InboxManagement of SAP Concur systemEnsure expenses and invoices are approved in line with agreed workflows in a timely mannerReview daily feed of data from SAP Concur to accounting system (Microsoft Dynamics) to ensure working as expected. Resolve any issues identified in a timely and efficient manner.Act as a point of contact for all employee expense mattersProcessing payment runs for approved employee expense claims monthlyAssisting with operational expenses payment run preparations and supporting the Finance Operations teamReconciliation of Navan Travel & Expenses tool used by employees to book flights and accommodation. Taking responsibility for ensuring the Navan Travel & Expenses account is funded.Reconciliation of company visa bills monthlyManaging credit card platform and point of contact for third party credit card providerPrepare credit card accrual as part of month end tasks. Ensuring expenses are posted to the correct general ledger and budget codes.Work with SAP Concur and Finance Transformation team to develop dashboard reporting for department heads to provide useful insights and encourage timely expense and invoice approvalAssist in monthly review of operating expenses with relevant budget owners to understand variance to budget and post any required accrualsPerform creditor reconciliationsMaintaining Fixed Asset Register & depreciationPosting journals in Microsoft Dynamics and using ThoughtSpot analytics toolMonth end reconciliations with the commitment to achieving tight month end deadlinesParticipate in process improvement initiatives. Strive towards "best-in-class"Perform other related ad-hoc accounts duties and projects as required by the Finance Operations ManagerKnowledge and Experience: Interest in accounting and/or desire to pursue professional qualificationAptitude for systems – experience of expense software (e.g. SAP Concur) an advantageAdvanced knowledge and experience in using Microsoft ExcelGets the basics right, every timeConfident communicator with the ability to work effectively as part of a team and on their own initiativeTakes ownership of tasks and completes work to a high standardProposing solutions as problems ariseA flexible approach to work and the ability to thrive under pressure
