Administrator Unijobs on behalf of our public sector client have a requirement for an Administrator to join their team.
The duration of the post is initially 4 months with possible extensions thereafter.
Working 35 hours per week the successful candidate will be employed as an agency employee and will be paid an hourly rate of €18.48 based on an annualised salary of €33,756 and will accrue 28 days' annual leave per year.
The role is based fully onsite in Dun Laoghaire, Co. Dublin.
Overview: The person appointed will provide administration support within the Academic Department.
Accountability, Duties & Responsibilities: Provide administration support to Academic Department and the various functions of the department specifically to student placements, clinical tutors, medical tutor and across all disciplines Deal appropriately, professionally and efficiently with all queries, enquiries, communications, and visitors to the Academic Department, taking guidance from more senior colleagues.
Be responsible for the administrative processing of student placement requests, preparing placement agreements, student induction in the academic dept in collaboration with Clinical Tutors/Practice Educators in ensuring an optimal student learning experience.
Generate, update and maintain the schedule of placements throughout the academic year Assist in the administrative support of lectures, conferences, educational meetings,courses/training/conferences in collaboration with Academic Department Team Members and through liaising with other organisation staff/departments.
Undertake a full range of administrative functions and support the pre and post course administrative preparation as required for second and third level education programmes.
Maintain a comprehensive document management system (manual and electronic) for all relevant documentation and ensure that file maintenance is carried out as required.
Prepare, and take minutes for department meetings/committees as required and to cover colleagues due to leave.
Keeping up to date with all relevant mandatory training relevant to the role.
Disseminate information relating to activity in the department as required.
Assist in ensuring that a safe environment is maintained for staff, students and visitors in compliance with Health and Safety requirements and best practice.
Be responsible for ensuring that facilities in the Academic Department are maintained, clean, fit for use and appropriate mandatory audits are completed in collaboration with Academic Team Members.
Complete, and provide administrative support, for specific projects and ad hoc duties, as assigned by the Academic Lead, in particular in relation to operational process to support the work of the department.
In addition to normal duties, the post holder may be required to undertake other duties as may be reasonably required within the scope of their role and the prioritisation of work in the department.
Qualifications: Third level education At least three-five year's satisfactory experience setting and administration role, preferably within the higher education/health care setting, and possess sufficient administrative capacity to discharge the functions of the grade.
Efficient and timely administrative and record keeping skills and minute taking skills.
Excellent team working skills.
Excellent administrative, organisational and time management skills.
Excellent working knowledge of computer packages, including Microsoft Word, Excel, MS Teams, Sharepoint, MS Forms, Outlook, and competence in using IT packages.
Experience of planning, taking initiative and working independently.
Exceptional verbal, written and presentation skills.
Accuracy and attention to detail in verbal and written communication.
Ability to manage workflows and administrative functions aligned to managing studentplacements.
Ability to work independently with capacity for responsibility.
Desirable but not essential: A background in and knowledge of the Health Services Sector or experience in HigherEducation.
Experience of working with third level students would be advantageous.
