JOB DESCRIPTION: Job Purpose The Aviation Executive (Engineering, Stores and Document Control) will provide administrative, document control and stores support, in the General Office DATCC, to the Technical Services Department.
Additionally, as required, the Aviation Executive will support the ATC function in order to facilitate the efficient functioning of the General Office.
Main Duties and Responsibilities Purchasing Administer the ordering and approvals process for all goods and services. Maintain the purchasing system to ensure all records are accurately recorded and maintained. Complete GRNs (Goods Received Notices). Liaise with the Accounts Payable/Purchasing Department on a regular basis, as required. Point of contact for all purchasing orders received. Update and maintain the Inventory management System (PMAC) to include the goods in/out log. Record, locate and label spares and record any movement of spares i.e.
for repair/station transfer, including miscellaneous goods. Liaise/coordinate with Stores personnel in other locations as required. Complete a full stock review bi-annually. Complete a Stores Audit annually. Assist in the process of calibration of Engineering equipment. Assist in the improvement of stores processes and procedures. Document Control Provide support to the Document Controller at Dublin ATC for all Engineering Procedures and Manuals via DAAMs. Issuing timely Engineering Safety Notices, TWIs and PCNs via the Engineering EBS. Issue Engineering Notices to staff and distribute company communications through agreed channels. General Administration Work as part of the General Office Administration team to support the Unit. Provide administrative assistance to Domain Managers and Engineering Operations Management. Administration of Engineering roster (including processing overtime and allowances, annual leave, and time in lieu). Ensure the HR CORE system is updated in a timely manner. Provide assistance, support and cover to other admin staff as required. Liaise with Engineering staff and other AirNav staff as required. Relationships Internal: In addition to direct reporting relationships above, the post holder is required to liaise with all personnel and Directorates in the Company.
External: The post holder is required to liaise with all appropriate external bodies, providers, suppliers, and companies.
PERSON SPECIFICATION Education, Knowledge, Experience & Skills Minimum 3 years proven experience as an office administrator, office assistant or equivalent. Proficient in MS Office. Excellent communication and interpersonal skills. Ability to work on own initiative and as part of a team. Organised with the ability to multi-task and coordinate a range of activities. Excellent attention to detail. Ability to plan, organise and prioritise workload, including coordinating with others to ensure deadlines and targets are met. Health & Safety experience. Experience of Integra purchasing system. Knowledge of HR Core.
