Overall, Purpose of the Job: We seek a highly organized and detail-oriented individual to join our Facility Management team at Kilkenny as a Catering Administrative Coordinator 5 days a week. The successful candidate will manage and coordinate administrative functions for food contract operations, ensuring our facilities operate smoothly and efficiently. Responsibilities: Manage the catering department's day-to-day administrative functions, including scheduling appointments, answering phone calls, and responding to emails. Maintain records and databases related to catering operations, including inventory, HACCP files, and budgetary information. Coordinate with vendors, contractors, and other third-party service providers to schedule and oversee maintenance and repair work in the restaurant. Ensure all catering activities comply with company policies, procedures, and legal requirements. Assist with developing and implementing policies and procedures related to catering operations. Collaborate with other departments and stakeholders to ensure the catering department operations align with organisational goals. Manage procurement of supplies, equipment, and materials necessary for facility management operations. Tracked and recorded all hospitality and free issues weekly, and a report was drawn up for the manager. Help on tills at the front of the operation at lunchtime Responsible for uploading photos to the AI till system and running reports Requirements: Bachelor's degree in business administration, hospitality, or a related field. 2+ years of experience in facility management administration or catering industry Strong organizational skills and attention to detail. Excellent communication and interpersonal skills. Proficient in Microsoft Office and Apleona facility management software. Ability to work independently and as part of a team. Knowledge of industry regulations and best practices related to facility management. Ability to manage multiple tasks and priorities in a fast-paced environment. Working Pattern: Monday to Friday from 9:30 to 17:30. Location: Kilkenny, Ireland.
