Clerical Officer Grade III Castlebar, Co. Mayo   Contract - 6 months initially but may be extended Hours - 35 per fortnight with days of work to be alternated e.g.
Week 1: Monday/Tuesday Week 2: Wednesday/Thursday/Friday   Reference Number 2024-228 Closing Date November 6 th , 2024   Job Brief The successful candidates will provide administrative support in the assigned Departments. The duties will include proactively and responsively communicating both internally and externally as required thus ensuring an efficient service level is maintained.

Further enquiries to Helen Gibbons, Service Manager Tel: 087-1011070     JOB DESCRIPTION Purpose of Job: The successful candidate will provide reception cover and administrative support which will include proactively and responsively communicating both internally and externally as required thus ensuring an efficient service level is maintained.
Reporting Relationship: As assigned Main Duties & Responsibilities: Providing Reception cover and associated duties Maintaining the administration element required in assigned Area/Department Maintain and develop database systems to support the service Effective records and filing retrieval system in line with FOI Act Ensuring accurate attention to detail and consistent adherence to procedures within areas of responsibility Ensuring deadlines are met and service levels maintained Maintain electronic diary and calendar bookings Screening of telephone calls and appropriate action Support the assigned manager in meeting preparation, including but not limited to, booking meeting rooms, issuing notifications, recording the meeting and providing an accurate set of minutes for distribution following meetings Provide necessary support in relation to HIQA/New Directions and other regulatory bodies where required Provide support to the overall function of the Organisation as required e.g.
reception duties The above is not intended to be a comprehensive list of all duties involved and consequently, the post holder may be required to perform other duties as appropriate to the grade, which may be assigned to him/her from time to time Requirements of the role: Previous experience of working in a busy administration role is essential Competent and proficient in the use of MS Word / Excel & Databases Confidentiality is a key requirement for this role Ability to work under pressure to meet deadlines Attention to detail is essential Be a good communicator Ability to work on own and as part of a team   Working Relationships and Communication: Understand and operate all relevant local and organisational procedure, directives and general information made available through the line manager.
Develop and contribute to good working relationships in the Organisation and with all other relevant personnel.
Report to and appraise line manager or designate of all work-related issues and difficulties.
Follow the Association's Grievance and Disciplinary Procedure, available in the Association's guidelines.
Maintain strict confidentiality relating to matters regarding personnel and services.
Attend and actively participate in staff meetings as required.
Actively participate in supervisory support as per Organisation Procedure.
  General: Promote and develop good community networks, which support inclusion and integration for persons supported.
Promote a positive image and name of the Association in the wider community.
Be accountable and responsible for input into service planning and delivery, together with job performance as per role within the Association.
Promote dignity at work and show respect to persons supported, colleagues and stakeholders in the course of duty.  Act in a confidential manner when dealing with personal information relating to persons supported, families and staff.
Attend staff training events as required and implement learning in the workplace.
Perform any other appropriate duties as requested by manager/supervisor.
  Conditions: The Job Description forms an integral part of the Contract of Employment, together with the Association's Guidelines.
To engage with and use the technology systems and packages provided by the Association to support day to day work and future planning needs.
You will receive support and supervision from your line manager regarding your day-to-day work through the Supervisory Support Process in place in the Association.
