The Role: The role of a Corporate Services Officer in the CCPC is to provide essential facilities and administrative support to allow effective and efficient performance of critical functions of the organisation. In addition to the immediate appointment from this campaign, an order of merit may be established. This may be used to fill any future vacancies at the same level within this or other Divisions of the CCPC where roles have similar responsibilities and/or similar skills are required.
Key Responsibilities: Address general facilities-related matters daily, including managing inventory of office materials and catering items of the organisation and managing internal and external post.Provide library services to the CCPC i.e. ordering books, managing subscriptions and maintaining the library facility.Perform general administrative duties within the team whilst also delivering administrative support services to the Commission and the wider CCPC.Manage multiple mailboxes, taking responsibility for ensuring correspondence is addressed in an accurate, timely and professional manner.Update the CCPC Intranet in respect of Corporate Services work.Provide general clerical support work e.g. filing, photocopying, binding, formatting reports for management, answering/making calls, monitoring mailboxes, dealing with emails.Schedule and organise meetings and events.Work with the Corporate Services Manager on health & safety matters and energy management initiatives.Assist with procurement of goods/services to include:requesting quotes,conducting research,inputting to Requests for Tender (RFT), as appropriate.Raise purchase orders and liaise with our Finance team and external providers in a professional manner.Contribute to the achievement of the strategic goals of the organisation by participating in cross-divisional projects in evolving areas as agreed with management.Undertake any other duties and responsibilities of a similar level within the CCPC which may be required and participate in relevant cross divisional projects when the need arises.Essential: Experience at organising your work and meeting deadlines including being able to reprioritise as needed.Experience of working independently, taking responsibility for own work.Excellent attention to detail.Experience of working effectively as part of a team.Excellent interpersonal skills and experience of using verbal and written communications with multiple stakeholders.Intermediate PC skills with aptitude in using Microsoft Office (particularly Word and Excel).Experience of dealing with customers/stakeholders and meeting quality service standards.Desirable: Previous experience in a similar role.Experience of working in the public sector.Application Process: To apply for this role using the link on the CCPC careers page, please submit an up-to-date CV and a cover letter max 250 words outlining why you are suitable for the role.
