The Role My client, a non-profit organisation is seeking an experienced Executive Administrator to join their team based in Dublin 2.
This is a full-time, hybrid, one-year fixed term contract with the possibility of permanency.
As the Executive Administrator you will provide key administrative support to the Executive Director and Board, manage compliance, finances & data and assist with organisational operations.
You will also support the organisations events, communications and funding efforts while ensuring smooth office management and regulatory adherence.
Tasks & Duties Provide administrative support to the Executive Director and Board, including preparing financial and risk reports, and ensuring compliance with organisational policies.
Manage the organisations regulatory compliance, including liaising with the Companies Registration Office (CRO) and Charities Regulator (CRA), while overseeing contract renewals and vendor agreements.
Coordinate agendas, meeting papers, and logistics for Board and subcommittee meetings, ensuring smooth communication and documentation.
Assist with accounting tasks, maintaining financial records, supporting annual audits, and managing data through Salesforce CRM, ensuring GDPR compliance.
Oversee office operations, including facilities management, contract renewals, health and safety responsibilities, and coordination of cleaning and maintenance schedules.
Support the creation of newsletters, website updates, and social media content, while assisting in the organisation of conferences, seminars, workshops, and funding applications.
Experience, Knowledge & Qualifications A least 3 years' experience in a senior administrative position.
Excellent interpersonal skills, with the ability to build and maintain strong relationships with internal and external stakeholders, agencies, and funders.
Experience coordinating events and conferences, and capable of assisting with content for websites and social media platforms.
Excellent communication skills both written and verbal with fluency in English.
Desirable: Experience with Salesforce CRM, governance and compliance, a relevant degree (e.g., business administration, non-profit management), and a strong interest in social development, equality, and the Irish political landscape.
Graphic design and report editing skills are an advantage.
Proficiency in administrative tasks, including typing, proofreading, and strong organisational and IT skills, with expert knowledge of MS Office 365 (Word, Excel, PowerPoint) and communication platforms like Skype, Zoom, Canva, and Teams.
