Step into the role of an Executive Assistant, supporting Barclays Europe Chief Executive Officer. You'll be managing the CEO's diary, including scheduling appointments, ensuring they are adequately prepared for meetings, tracking expenses including collating receipts, reconciling Corporate Credit Cards, ensuring they have been processed and approved within the required SLAs, and making all travel arrangements.
To be successful as an Executive Assistant, you should have:
Proven experience in a PA/EA role.Confidence to work with senior leaders and stakeholders to build good working relationships and work collaboratively.Proven ability to be self-motivated, manage time effectively, and deliver work to a consistently high quality.High degree of organisational awareness with an ability to solve problems and make decisions independently.'Can do' attitude with the confidence, composure, and common sense to interact on a national level with a wide range of senior stakeholders across teams.High level of professionalism with excellent communication skills.Good understanding of Outlook, Word, PowerPoint, and Excel.Confident, flexible working attitude.The ability to work well under pressure.Some other highly valued skills may include:
Fluency in European languages.Having worked for a CEO previously.Financial sector experience.This role is based out of Dublin.
Purpose of the role To provide administrative and organisational support to executives, managers, or teams. To manage schedules, acting as a trusted point of contact, ensuring seamless coordination, efficient task management, and a professional presence for their assigned individuals or teams.
Accountabilities Management of executive, managers or team calendars and overseeing timely responses to meeting invitations and requests.Planning and arranging travel itineraries, including flights, accommodation and ground transportation, ensuring timely and efficient travel for the executive or team.Proactively anticipating the needs of the executive or team, prioritising tasks, and ensuring timely completion.Management of day-to-day administrative tasks, such as expenses, maintaining filing systems, and ordering office supplies, annual leave records management, distribution list management and organisation management tasks.Analyst Expectations Will have an impact on the work of related teams within the area.Partner with other functions and business areas.Takes responsibility for end results of a team's operational processing and activities.Escalate breaches of policies/procedure appropriately.Take responsibility for embedding new policies/procedures adopted due to risk mitigation.Advise and influence decision making within own area of expertise.Take ownership for managing risk and strengthening controls in relation to the work you own or contribute to.
