MongoDB is seeking anExecutive Assistant to support our global Technical Services Team, including three VPs.
The role will be based out of our Dublin office.
Your day will consist of managing and prioritizing a steady stream of requests, meetings, and trips.
You will work closely with the Technical Services Leadership team and their Executive Assistants to ensure your executives can align on schedules, follow-ups and other matters to ensure they are available to make business decisions in a timely and efficient manner.
The right candidate will be able to balance the needs and requirements of their executive as well as other stakeholders and be ready to pitch-in wherever necessary.
You should feel comfortable interacting with senior executives and their assistants to coordinate meetings and other business activities.
You should be comfortable working in a fast-paced environment with quickly changing priorities while being calm, efficient, and highly organized.
ResponsibilitiesProactively support the VP Operations, based in New York, EMEA AVP, based in Dublin, and the VP Escalation Management, based in DublinManage the executives' calendars meticulously and thoughtfully, coordinating all meetings and calls, including video conferencing and large team eventsManage multiple requests – exercising sound judgment, and seeing beyond the day-to-day to anticipate changing needs while staying calm under pressureCollaboratively organize, schedule, plan, and execute global and regional events, including QBRs, offsites, cross-functional summits and team eventsBuild relationships with key stakeholders in your executives internal and external networkManage all travel logistics and associated expenses, and be ready to handle last-minute changesCollate and distribute correspondence, spreadsheets, slide decks, and meeting agendasTrack action items and key issues to closure with a high degree of integrity and accountabilityAssist with special assignments/projects, as neededAssist with department communications draftsOccasional international travel is requiredRequirements4+ years experience supporting senior executives, or other relevant experience working directly with executivesRole is based out of the Dublin office.
Flexible working model with office attendance expected 1-2 times per week or based on business needsBachelor's Degree or equivalent work experience is preferredExtremely well organized and detail-orientedExcellent verbal and written communication skillsExperience booking both domestic and international travelStrong awareness and comfort operating across multiple time zones and culturesProficiency with Google Apps (Gmail, Google Docs, Google Calendar), Microsoft Office, and video conferencing toolsCreative, flexible, and innovative team playerAble to handle highly sensitive and confidential materialTake feedback well, but also able to work autonomously with little direction and make decisions as neededTo drive the personal growth and business impact of our employees, we're committed to developing a supportive and enriching culture for everyone.
