Job Description We are seeking a Facilities Coordinator to deliver a high standard of facilities service within a leading LAW firm based in Dublin 2 Job Responsibilities •    Create and maintain a safe working environment for visitors and staff who work within the building by implementing regular inspections and walk throughs of the premises and identifying any potential issues for action.
•    Manage all couriers, post and deliveries and carryout inhouse deliveries when required.
•    Provide a reprographics service to include printing & scanning •    Complete morning set up of meeting rooms and board room configurations when required •    Preparing offices/rooms for events and meetings, by ensuring that meeting rooms and board rooms are sufficiently stocked with meeting room essentials such as snacks, water & tissues etc.
•    Maintaining an inventory of consumables and placing orders in advance of depleting stock levels.
•    Carry out specific cleaning guidelines on equipment, such as coffee machines water softeners, filtered taps, dish washers, etc.
•    Manage day to day issues as they arise in a professional and prompt manner by adhering to either the clients service level agreement or expectancy.
•    Monitor meeting room calendars in order to plan accordingly any additional equipment required such as AV etc.
•    Manage car parking requests for staff and visitors.
•    Manage access control cards and keys for visitors, contractors and staff.
•    Provide support and updates to the Client's Liaison when required on all relevant issues that arise on the premises.
•    Ensure that operational standards at the building meets the clients' requirements.
•    To be vigilant to any Health, Safety and Welfare risks in the development and bring any concerns to the attention of the FM manager and the Client's Liaison.
•    Assist in the arrangements for additional cleans after functions and conferences training that maybe held on the client's premises   •    Liaise with the Building Manager and FM Manager, clients and all staff working at the building.
•    Assist the FM manager for the premises by ensuring that all contractors are carrying out their maintenance in accordance with the criteria detailed in the Planned Preventive Maintenance Schedule •    Ensure that all compliance services for the premises take place and are recorded for insurance requirements •    Ensure any sustainability programs or procedures by either the client or the company are implemented.
•    Ensure that the client's requirements for staff food provisions such as fruit, snacks are ordered as instructed by the client representative.
Qualifications •    Fluent English.
•    At least 3 years' experience in corporate or similar environments.
