We are seeking a highly organized and detail-oriented Administrative Assistant to join our Dublin office.
The position involves diary management and travel planning for a senior management team, requiring a strong ability to multitask and work under pressure.
The successful candidate will provide vital support to Senior management team daily operations and ensure the smooth execution of various administrative tasks and travel arrangements.
This is an excellent opportunity for someone with a passion for travel, exceptional organizational skills, and a keen eye for detail.
What will you be doing?Managing calendars, scheduling appointments, and handling meeting logistics for senior executivesCoordinating and managing all aspects of international travel arrangements, including flights, accommodations, visas, transportation, itinerary planning for executives and team membersPreparation and processing of expense reportsEnsuring compliance with company policies and procedures related to travel, including expense reporting and travel approval processesHandling general administrative duties, such as answering phone calls, responding to emails, preparing/maintaining materialsCollaborating with various departments to schedule and coordinate virtual and on-site meetings, conferences, and events, both domestically and internationallyMeeting management, preparing agendas, collating information from stakeholders, minute taking and following up on actionsAssisting with the preparation of presentation materials, reports and other documents as requiredMaintaining and organizing confidential files and records, ensuring efficient and secure access to informationProcessing and monitoring of business invoicesConducting research and providing support for special projects, as assignedQualifications:Previous relevant professional experience from a similar role gained with financial services, ideally within Investment Management.
Paralegal or Company secretarial experience would be beneficialExceptional communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels, internally and externallyStrong organizational skills and the ability to prioritize tasks effectively, while maintaining attention to detailProficiency in travel management systems and tools, as well as proficiency in Microsoft Office Suite (Word, Excel, Outlook and PowerPoint)Excellent problem-solving skills and the ability to think critically and make decisions independentlyFlexibility and adaptability to handle changing priorities and work in a fast-paced environmentAbility to maintain confidentiality and handle sensitive information with integrityMust be able to work both independently and as a team, and adapt to various needs of executives and team membersEducated to Leaving Certificate or equivalent.Where will you be working?City Quay - Dublin
