Job Title: People Operations Advisor Location: Swords, N. Dublin Reports to: HR Manager / Project Manager Job Type: Full-time Overview: We are seeking an experienced and detail-oriented People Operations Advisor specialising in Workforce Planning. The ideal candidate will manage our workforce planning processes, ensure the smooth administration of HR systems and oversee payroll accuracy. This role requires a customer-centric approach to ensure client satisfaction and efficient service delivery. Key Responsibilities: Shift Scheduling and Rostering: Develop and manage shift rotas, ensuring adequate coverage to meet client needs. Monitor and adjust schedules to accommodate changes in staffing and client requirements. Collaborate with managers and team leaders to ensure effective rostering practices. HR System Administration: Administer and maintain HR systems including Sage, NurseBuddy, and Thesaurus Ensure data integrity, accuracy, and security within all HR systems. Provide user support and training for HR systems to staff as needed. Point of contact for any employee queries via system requests. Troubleshoot system issues and work with IT support to resolve them promptly. Payroll Administration: Ensure accurate and timely processing of payroll, including data entry and validation. Verify that payroll data is accurate and complete, and resolve any discrepancies. Respond to payroll-related queries from employees and management. Reporting and Data Analysis: Generate regular and ad-hoc reports on workforce metrics, payroll, and other HR data. Analyse data to identify trends, gaps, and opportunities for improvement. Policies and Procedures: Ensure compliance with organisational policies and procedures Client-Centric Approach: Maintain a customer-centric approach in all interactions with employees and clients. Address and resolve client and employee queries in a timely and professional manner. Qualifications: Bachelors degree in Human Resources, Business Administration, or a related field. Minimum of 2-3 years of experience in workforce planning, HR systems administration, and payroll. Proficiency in systems, experience in Sage, NurseBuddy, and Thesaurus is an advantage, but similar system experience welcome. Strong understanding of shift scheduling and rostering practices. Excellent analytical skills with the ability to interpret data and provide insights. Strong communication and interpersonal skills. Ability to work independently and as part of a team.
