We are seeking a detail-oriented and proactive Project Analyst (Admin) to support our e-commerce transformation initiatives, within the 'strategy execution' pillar of the team.
This role is ideal for an individual with some experience in project coordination or administration, (Preferably) within the pharmaceutical industry's IT or technology teams.
The successful candidate will report into a project manager and will play a critical role in ensuring the smooth execution of e-commerce projects by managing administrative tasks, coordinating with cross-functional teams, and supporting project planning efforts to both execute & report.
Key Responsibilities: 1.
Project Coordination & Support: Assist project managers and team leads in planning, tracking, and executing e-commerce transformation projects.
Coordinate meetings, prepare agendas, and document key action items and decisions.
Maintain project schedules, timelines, and status reports to ensure alignment across teams.

Administrative Support: Organize and manage project documentation, ensuring accessibility and accuracy, with cross functional Product, Design, and IT organizations.
Track budgets, expenses, and resource allocation under the guidance of project managers.
Utilize project management tools (e.g.
JIRA) to manage system workflows and track progress.

Data Collection & Reporting: Collect and analyze data to support project performance tracking and decision-making.
Prepare regular reports and presentations for stakeholders, summarizing project progress, milestones and metrics.

Communication & Stakeholder Engagement: Act as a point of contact for internal and external stakeholders, ensuring clear and timely communication, ensuring clarity on project goals and progress.
Facilitate collaboration among IT, Product, Marketing, and operations teams to achieve project goals.
Address stakeholder concerns and ensure needs are met through project.
Identify project risks and communicate to the relevant stakeholders.

Process Improvement: Identify opportunities to improve project management processes, frameworks and workflows.
Support the implementation of tools and systems that enhance project efficiency and collaboration.
Become an SME, providing training and support to team members on using PM tools.
Qualifications: Education: Bachelor's degree in project management, Business Administration, Information Technology, or a related field preferred.
Experience: 1-3 years of experience in project coordination, administration, or a related role.
Experience within IT or technology teams in the Tech / e-commerce or pharmaceutical industry is highly desirable.
Familiarity with e-commerce platforms or digital projects is a plus.
Technical Skills: Proficiency in project management tools (e.g., Microsoft Project, Jira, Trello etc.).
Competence in Microsoft Office Suite, particularly Excel, PowerPoint, and Word.
Basic understanding of data reporting and visualization tools (e.g., Power BI, Tableau) is a bonus.
Basic understanding of process visualization tools, for e.g.
: Miro/ Lucid.
Soft Skills: Excellent organizational and time management skills with the ability to manage multiple projects simultaneously.
Excellent verbal and written communication skills, with the ability to collaborate effectively with cross-functional teams and stakeholders Detail-oriented with a focus on accuracy and efficiency.
Collaborative and team-oriented mindset.
Understanding of project management methodologies and tools Preferred Qualifications: Familiarity with pharmaceutical industry compliance standards (e.g., HIPAA, FDA regulations).
Project management certifications, for e.g.
: PMP (Project Management Professional) Basic knowledge of e-commerce workflows and technologies.
Experience in navigating efficiently through enterprise level programs & projects with huge scale and scope.
