Role Overview The Quality & Compliance Officer supports the Quality & Compliance Manager in developing and implementing Circle VHAs Quality Management System (QMS) and managing the organizations compliance requirements.
Responsibilities include coordinating activities related to quality, risk, and compliance; ensuring adherence to regulations; assisting with risk management strategies; and providing office management support.
This role requires strong organizational, time management, and communication skills.
Key Responsibilities Assist the Quality & Compliance Manager in maintaining risk registers, business impact assessments, internal audits, and disaster recovery processes.
Coordinate updates to Circle VHAs risk registers and prepare reports for key meetings.
Draft, update, and manage policies per Circle VHAs Policy Framework.
Work with teams to document and improve systems, processes, and controls.
Manage scheduling, communication, and documentation for the Board and subcommittees.
Support the CEO, Board Chair, and staff on governance matters.
Coordinate new Board member inductions and organize training opportunities.
Maintain Board and subcommittee documentation in an organized, accessible format.
Assist with complaints management in line with Circle VHAs Complaints Policy.
Provide administrative support for Quality and Compliance projects.
Organize and maintain filing systems for the Corporate Services Department.
Collaborate on special projects to foster a culture of continuous improvement.
Maintain internal audit trackers, liaising with managers as needed.
Ensure accurate completion of regulatory filings and maintain Circle VHAs Conflict of Interests Register.
Deputize for the Quality and Compliance Manager as required.
Key Competencies Highly organized with excellent time management skills.
Proficiency in Microsoft Office.
Strong understanding of governance principles and frameworks.
Excellent written and verbal communication, with attention to detail.
Strong analytical skills and problem-solving abilities.
Ability to work independently and collaboratively.
Person Specification A well-organized, detail-oriented individual with excellent time management, planning, and analytical skills.
Must have experience in governance and be able to maintain accurate documentation.
Requires excellent communication skills, proactive problem-solving, and the ability to work independently and as part of a team.
Required Education and Experience Relevant experience or qualification in a related field (Quality, Compliance, Housing, Property).
Minimum two years of experience in a similar role.
Proficiency in Microsoft Office Suite.
Experience in drafting policies, reports, and meeting minutes.
Desirable: Experience in social housing, property, or financial services, and membership in the Chartered Institute of Housing.
Key Knowledge and Skills Understanding of the regulatory environment for Approved Housing Bodies (AHBs).
Knowledge of Circle VHAs vision, mission, and values.
Excellent organizational and problem-solving skills.
Strong communication skills, with experience preparing reports for management and external agencies.
Flexibility to support Circle VHAs strategic objectives.
