Job Title: Recruitment Coordinator Hours: 37 hours per week Qualifications: Degree educated in HR/Business or CIPD qualification desirable. Role Purpose To support and coordinate the recruitment process including sourcing candidates guiding managers through from requisition, interview stage to placement and initial starter set up. To utilise the candidate management system. To process, screen, communicate and handle all pre-employment processes for candidates. To provide reports and analysis on recruitment activity on a weekly basis to managers. To assist with developing issuing and circulating Recruitment policies and procedures throughout the hospital. To build pipelines for specific roles and to focus on sourcing candidates. To utilise social media channels to promote and advertise all roles as required. To support the HR team in all queries as they arise KEY RESPONSIBILITIES Be the first point of contact on all recruitment issues and provide a quality service to all internal and external stakeholders Liaise, schedule and co-ordinate interviews working directly with candidates and managers to ensure a smooth recruitment process Track and update all recruitment administration real time reporting data to ensure its up to date and accurate A key player in supporting posting job adverts, CV screening, phone screening, preparing interview packs and sending out interview invites. Maintain the Applicant Tracking System to ensure candidate information is up to date and accurate Communication with candidates and hiring managers to ensure all queries are answered in a timely manner Processing of all pre-employment requirements; co-ordination of the Garda Vetting and pre employment medical process, work permits etc ensuring that references are completed, and all relevant documentation is captured. Extending offers and preparation of offer letters, pre-employment and contract or employments Preparation, sending and issuing of starter packs to new joiners and ensuring all stakeholders are notified. To assist with orientation process as required To utilise social media channels to promote and advertise all roles. Responsible for general recruitment administration related to current employees and to maintain up-to-date personnel files on all staff both online/paper and to be proficient in the TMS system. To work closely with HR colleagues and to work as part of the Human Resources Team providing overall HR support to the hospital Assisting with general ad-hoc HR support and projects where needed To maintain up-to-date personnel files on all staff both online and paper and to be proficient in the TMS system. To ensure clock in policy is applied and to set up new starters. To monitor work permits COMMUNICATION SKILLS: To assist with the production of staff communication including SharePoint and developing new methods of communication Communicate appropriately with colleagues and other members of the hospital to ensure a quality service is provided to all while constantly striving for excellence in patient/customer care. Maintain confidentiality in all transactions Provide support to managers giving advice in a supportive and professional manner Attend and contribute to appropriate meetings. Report all incidents immediately, which may adversely affect a patient, colleague or the Blackrock Clinic. GENERAL EXPECTATIONS: Support the philosophy, objectives and goals of Blackrock Clinic. Observe the appropriate lines of authority and policies. Maintain strict confidentiality regarding all information involving staff, patients and the activities of Blackrock Clinic. Demonstrate flexibility by assisting in all areas of the hospital/clinic as required. Participate in developing and providing quality care within Blackrock Clinic. Assist in orientation of new personnel. Continue to develop personal knowledge and skills and seeks outside educational opportunities. Present a professional appearance and conform to the dress, hygiene and infection control policies of the Clinic. Is always punctual on duty. Flexible attitude to changing work practices.
