Senior Document Controller is responsible for the effective management and control of all project and safety documentation. This role requires a strong understanding of project management principles, including occupational safety requirements and a proficiency in utilising project management software and tools. The ideal candidate will possess good knowledge in document control and management processes, ISO Quality and Health & Safety standards, with excellent organisational skills, attention to detail, and a proactive approach to problem-solving.
Key Responsibilities Document Management: Maintain and suggest improvement to a document management system and project tracking process, ensuring adherence to project standards and guidelines. Support engineering team in the implementation of internal systems and keeping project processes streamlined and executed as per the internal system requirements. Maintain a centralized repository for all project documents, including drawings, specifications, correspondence, and reports. Control document access, distribution, and revision, ensuring proper version control and confidentiality. Track document approval and issuance processes, ensuring timely completion and distribution. Project Support: Provide administrative support to project teams, including scheduling meetings, preparing agendas, and taking minutes. Assist in the preparation of project plans, progress reports, and other project deliverables. Coordinate with stakeholders to ensure timely delivery of documents and information. Software Proficiency: Demonstrate expertise in project management & time tracking software. Utilise Google workspace applications (e.g., Docs, Sheets, Slides) for document creation, collaboration, and sharing. Proficient in using document management systems and version control software. Knowledge of SharePoint, Procore, etc. managing client document controller interfaces. Quality Assurance: Responsible for maintaining the Quality Health & Safety Management System and maintaining document and data systems for the current versions of ISO. Conduct regular audits of project documentation to ensure compliance with quality standards and procedures. Continuous Improvement: Actively seek opportunities to improve document management processes and procedures. Qualifications and Skills Minimum 3 years' experience in a similar role in document control and record management. Possess good knowledge in document control and management processes, standards and ISO standards. Leaving Certificate minimum. 3rd Level Qualification in a business, scientific or related field desirable. Qualification (or interest in pursuing qualification) in occupational health and safety (e.g. NEBOSH, IOSH) desirable. Strong understanding of project management methodologies and tools. Attention to detail and accuracy. Strong communication and interpersonal skills. Proficiency in Google workspace applications. Experience with document management systems and version control. Highly organised with strong attention to detail essential. Ability to multi-task and work well under strict deadlines. Ability to work well within a team environment and on own initiative.
