Unijobs, on behalf of our public sector client, has a requirement for a Services Manager within the Medical Directorate, reporting to the Operations Manager.
This is a temporary position, and the duration will be between 17 and 19 months.
This position is fully onsite, based in Dublin 8.
Working 35 hours per week, the successful candidate will be employed as an agency employee and paid an hourly rate equivalent to the annual salary.
The salary scale associated with this position is €58,254-€75,728.
The successful candidate will also accrue 30 days annual leave per year and paid Bank Holidays.
Purpose of the Role: To drive and support the operational service requirements in the Day Services pillar of the MED Directorate, delivering key directorate objectives based on: Quality and Safety Access Flow Team Resources and Waste The Directorate Services Manager is a key member of the directorate management team.
Responsibilities: Accountability Analyse demand capacity metrics and ensure services comply targets.
Review and analyse resources within the Directorate, suggesting proposals to improve efficiencies, productivity, and service delivery.
Assist in the implementation of national clinical programmes as directed.
Oversee administration services, ensuring efficiency, high quality, and adherence to protocols.
Review administration functions to identify and implement improvements.
Deputise for the Operations Manager during absences.
Access/Flow Understand capacity & demand concepts and metrics and assist the Clinical Director, Operations Manager in designing and delivering KPI data to analyse services and make informed decisions on improvements and service development Ensure services comply with all access protocols, SOP's and National Programme requirements Ensure all services comply with internal and external targets Review performance indicators and measurement targets in conjunction with the ADON and the directorate team Develop and monitor action plans in conjunction with the speciality leads, ADON and directorate team to address variation in demand and capacity and unmet KPI's Standardise patient flow processes for effective appointment management, including receipt, triage, appointment scheduling, attendance, non-attendance and follow-up of all appointments Ensure clinic templates are monitored, kept up to date and reviewed as per requirements Conduct waiting list validation exercises as per protocols Support and maintain data collection requirements for evaluation of clinic efficiencies Quality Support continuous quality improvement working with the directorate team to ensure safety and quality are central to the delivery of all services ensuring a fully patient focused and centred service Address and review complaints and incidents in a timely manner and develop action plans as appropriate Devise and implement processes to continuously test and measure patient satisfaction within the directorate as required Continuously evaluate the effectiveness of the services and introduce related changes where appropriate and to constantly strive to improve services Audit data collection processes and standards Team Direct responsibility for the management of all administrative staff Ensure the highest calibre staff are recruited to and retained within the directorate Promote and affect a responsible and accountable culture amongst staff Plan succession management for all administration functions, ensuring that their job descriptions properly describe their functions and responsibilities Resources and Planning Project manage new initiatives as required Assist the finance department in costing & funding submissions to funding agencies regarding new/increased expenditures and/or reduced income levels Participate in developing financial information in relation to planned service developments in conjunction with the hospital management Assume shared responsibility in the preparation of all budgetary costings, plans and proposals and assist with the development of patient & activity level costing information Other Duties Deputise for senior personnel during absences as needed.
Act as a member of relevant committees or working groups.
Comply with Health and Safety regulations as outlined in the Safety, Health and Welfare Act 2005.
Academic/Professional Qualifications and/or Relevant Experience: Required: Sufficient administrative capacity to discharge the functions of the grade.
2 years' management experience.
Desirable: Previous experience managing IPDC and OPD services.
Technical/Clinical Competencies: Required: Proficient in IT skills (Word, Excel, PowerPoint, Outlook).
Strong analytical skills.
